Job Description


Our client is a leader in the Property/Real estate industry who is looking for a talented and dynamic Training Administrator to join their growing and developing team, by providing support to the training divison.

Administration
Responsible for general administrative duties for the Department.
Performs any typing requirements for the department.
Minute-taking of meetings where required.
Update mailing lists for all online courses.
Updates the HO Staff List for both training and communication as and when required.
Ensures communication is sent out by the set deadlines.
Processes registrations for online courses.
Notifies unsuccessful candidates via email.
Creates and administers WhatsApp support groups for online courses.
Provide the Communications department with the list of successful candidates as well as a WhatsApp group link course onboarding emails.
Create SMS spreadsheet for the various online courses, upload to Bulk SMS and send the various SMS communications where required.
Record attendance for the online Proficiency courses.
Download Zoom reports to verify attendance of online courses.
Sends non-attendance emails to absent course attendees and revokes Zoom and WhatsApp support group access.
Co-host the online orientation webinar (explaining the administration process to course attendees) as well as the last webinar day of the proficiency courses.
Updates the results sheets for the facilitator to capture the learners results.
Liaises with facilitators to verify that grades are correctly captured.
Sends exam results to the franchisees within 14 days after the exam is written.
SPC fieldwork to be sent to the successful candidates 2-3 days after the results are released.
Moderate completed fieldwork to determine final competence result for SPC.
Issue course certificates where required.
Assist with the administration for all other training interventions.
For NQF training, reconciles and updates payments on the course spreadsheet.
Prior to the next scheduled NQF training, liaise with the Accounts department to process credit notes for the agents who did not pay.
Capture all payment requisitions for the department via KissFlow.
Update the course history of the agents on their RT3 profiles as and when required.
Update statutory training qualifications and FFC status of agents as and when required.
Request signature updates from the IT department after updating an agents FFC status.
Works with the Compliance department to ensure that new franchisees complete the training relevant to them.
Manages the ticketed training email account.
Attends to all training emails and phone calls and escalates only when required.
Access the Learning portal to check learners course progress, as required.
Compiles WSP data for submission to Services SETA annually.
Compiles annual training calendar (to be completed by the end of November each year) taking facilitators leave dates into consideration.
Keeps the National Training Calendar updated at all times

Other
Any and all other reasonable tasks as assigned by the National Training Manager.
Switchboard relief as and when required.
Other tasks as assigned by the National Training Manager and facilitators

Requirements:

Matric
Tertiary qualification in relevant field (advantageous)
At least 5 years of strong and stable administrative background preferably in a similar role or environment/industry
Stable track record and contactable references
Computer literate and strong typing skills (accuracy and speed)
High energy and customer-focused
