Job Summary:
We are seeking a proactive and detail-oriented Administrator to support the smooth and efficient functioning of the Training Institute and its affiliated non-profits daily operations. This is a remote role suited for someone who is highly organized, a strong communicator, and confident working independently. As the first point of contact for the organization, you will provide vital administrative support to the Director and wider team, ensuring effective communication, coordination of training programs and dialogues, and accurate data management.
Key Responsibilities:
xc2xb7 Act as the first point of contact for all email and general inquiries
xc2xb7 Manage social media calendar and posting
xc2xb7 Oversee administrative aspects of training programs and dialogue sessions
xc2xb7 Assist facilitators with booking and setting up dialogue sessions via Caspio and Zoom
xc2xb7 Generate and send invoices; track payments and maintain accurate financial records
xc2xb7 Maintain and update organizational records, databases, and contact lists using Caspio
xc2xb7 Support project coordination and internal communication
xc2xb7 Liaise, schedule and document internal and external meetings
xc2xb7 Maintain digital filing systems and assist with document preparation
xc2xb7 Assist with internal reporting, surveys, or donor documentation as needed
xc2xb7 Liaise with team members to ensure the smooth flow of information and task completion
Skills & Qualifications:
Minimum Requirements:
xc2xb7 High school diploma
xc2xb7 At least 2 years of experience in an administrative or virtual assistant role in any setting
xc2xb7 Proficiency in Microsoft 365 (Outlook, Word, Excel, Teams, OneDrive, etc.)
xc2xb7 Experience using or willingness to learn platforms like Caspio and Zoom
xc2xb7 Excellent written and verbal communication skills
xc2xb7 Strong time-management and organizational skills
xc2xb7 Problem-solving mindset and ability to adapt in a dynamic, remote team environment
Preferred Qualifications (not requirement):
xc2xb7 Associate or Bachelors degree in Business Administration, Office Management, Human Resources, Communication, or related field
xc2xb7 Familiarity with online collaboration tools
