Job Description


Responsibilities: Calendar and Schedule Management: Effectively manage the entrepreneur's calendar, appointments, and meetings. Coordinate and prioritize multiple stakeholders, ensuring all commitments are met. Communication and Correspondence: Handle all incoming and outgoing communications, including phone calls, emails, and other correspondence. Draft, proofread, and edit documents, presentations, and reports. Organization and Task Management: Assist in organizing and managing the entrepreneur's workflow. Prioritize tasks based on urgency and importance, ensuring timely completion. Efficiently manage to-do lists and ensure follow-up on pending items. Travel and Meeting Arrangements: Coordinate and book all travel arrangements, including flights, accommodations, and transportation. Prepare meeting materials and agendas and assist in setting up presentations or video conferences. Information Management: Maintain a well-structured filing system for documents, contacts, and important information. Retrieve and provide information as required, ensuring data accuracy and confidentiality. Financial Support: Assist in managing expenses, invoices, and financial records. Liaise with the accounting department to track and reconcile expenses. Project Support: Collaborate with the entrepreneur on various projects, providing research, documentation, and administrative support. Monitor project timelines and milestones, ensuring progress and completion. Problem-solving and Adaptability: Display resourcefulness and flexibility to handle unexpected situations and changes in priorities. Proactively identify and resolve issues using strong problem-solving skills.
Requirements: Proven work experience as an Executive Assistant or similar role supporting high-level executives or entrepreneurs. Excellent organizational and time management skills, with the ability to prioritize tasks effectively. Strong attention to detail and ability to maintain accuracy in a fast-paced environment. Exceptional written and verbal communication skills. Proficiency in using productivity software and tools, such as MS Office Suite (Word, Excel, PowerPoint) and project management systems. Strong ability to multitask and handle deadlines with composure. Ability to work autonomously and independently, demonstrating self-initiative and decision-making skills. Experience in working with individuals with ADHD or familiarity with ADHD-related challenges is a plus.
