We are looking for a detail-driven
Workshop Administrator
to support our technical operations. You'll be the backbone of our workshop - coordinating jobs, managing documentation, scheduling services, and ensuring smooth communication between technicians, customers, and our internal teams.
Key Responsibilities:
Create and manage service tasks in our systems (Workpool & Pastel).
Maintain and update the Workshop Tracking Sheet.
Prepare and process proforma invoices, WS1 job cards, and related approvals.
Schedule maintenance, calibrations, breakdowns, and subcontractor services.
Manage calibration and maintenance certificates.
Prepare travel quotes, arrange bookings, and process expense claims.
Track work in progress
Prepare monthly overtime, and mileage reports.
Provide daily support to regional teams.
Requirements:
Strong administrative and organizational skills.
Proficiency in MS Office (Excel, Word) and ERP/accounting systems (Pastel experience advantageous).
Excellent communication skills - verbal & written.
Ability to manage multiple priorities and work under pressure.
Previous experience in a workshop/service administration role will be an advantage.
Attention to detail
Ability to work well with technicians
