Supervise all client liaison and sales support in the branch officesxe2x80xa2 Supervise the service delivery to internal & external clients (TCF)xe2x80xa2 Manage the client service of walk in and telephonic enquiriesxe2x80xa2 Handle and report complaints effectively (TCF)xe2x80xa2 Manage compliance and effectiveness of client service levels (TCF)xe2x80xa2 Monitor the quality of all client services administration towards sales (TCF)xe2x80xa2 Adherence and control of client survey (TCF)xe2x80xa2 Ensure correctness of documentationxe2x80xa2 Maintain and monitor client service registers2. Supervise new business policy administrationxe2x80xa2 Oversee and manage the efficiency & accuracy of data capturing for the group (TCF)xe2x80xa2 Oversee compliance of quality assurance on all new business processes (TCF)xe2x80xa2 Oversee Tick off procedures and policies (TCF)xe2x80xa2 Maintain and monitor new business and returns registersxe2x80xa2 Assist Office and Sales Managers to ensure that sales targets are achievedxe2x80xa2 Ensure minimum data capturing targets are met3. Supervise claims administrationxe2x80xa2 Review claims to ensure that personnel have processed it accurately, promptly, and made notes AIMS (TCF)xe2x80xa2 Maintain that claims procedures are adhered to (TCF)xe2x80xa2 Follow procedures on record keeping and storage of claims documentation (TCF)xe2x80xa2 Maintain and monitor claims registersxe2x80xa2 Monitor efficiencies on decentralization claims procedures4. Assist Office Manager with budgetary controlxe2x80xa2 Assist with managing of branch office expenses within budgetary constraintsxe2x80xa2 Plan and develop methods and procedures to lower operational expensesxe2x80xa2 Assist with the purchasing, inventory stocks and supplies5. Information Reconciliation & Reporting on Branch Office Operationsxe2x80xa2 Compile and submit weekly client service administration activity reportsxe2x80xa2 Compile weekly report on new business - received, finalized, returned and outstanding'sxe2x80xa2 Reporting to manager on claims progress and activitiesxe2x80xa2 Provide weekly stats to Sales on outstanding correspondence and returned new businessxe2x80xa2 Report on challenges and solutions to managerxe2x80xa2 Assist and manage with the stationery, inventory & supplies recordsxe2x80xa2 Maintain up to date Supervision records6. Management of logisticsxe2x80xa2 Ensure branch offices adheres to the corporate identity (dress code, branding, etc.)xe2x80xa2 Ensure offices are well maintainedxe2x80xa2 Liaise with facilities department for any maintenance related issuesxe2x80xa2 Assist Office manager in updating the offices asset registers and complying with the Facilities policies and requirements7. Responsible for compliance and TCFxe2x80xa2 Adhere to company policies and procedures, code of conduct in accordance with FSB and regulatory requirementsxe2x80xa2 Coach staff on relevant legislation and industry principlesxe2x80xa2 Assist with the staff accreditations compliancexe2x80xa2 Coach staff on relevant business rules, policies, proceduresxe2x80xa2 Keep compliance records up to date8. Comply with FAIS requirementsxe2x80xa2 Supervise employee representative when rendering services under supervisionxe2x80xa2 Submit supervision evidence to HR/ TD monthlyxe2x80xa2 Mentor and train staff to ensure that they have a proper understanding of products and proceduresxe2x80xa2 Observe interactions between employee and clients9. Supervision of staffxe2x80xa2 Assist with the audit and control of attendance registers, client survey, pulse reports, activities, staff leave and any other requirementxe2x80xa2 Monitor and review staff performance monthly and biyearly (TCF)xe2x80xa2 Assist with the management of branch operations effectively and liaise with the relevant departmentsxe2x80xa2 Assist with the training, development and on-going coaching of staffxe2x80xa2 Comply with disciplinary and grievance proceduresxe2x80xa2 General supervision of branches including branch visits to ensure that the branches' administration runs effectively and efficiently.10. Supervision of the integration processxe2x80xa2 Compliance of cross integration of policies and procedures amongst branch office staff11.
