Job Summary The Branch Operations Administrator is responsible for overseeing all aspects of branch operations, managing a team of rental agents, drivers, and commercial cleaning staff, and ensuring the efficient functioning of the branch in accordance with company standards. This role involves handling various responsibilities, from fleet management to administrative tasks, with a focus on customer service and operational excellence. Key Responsibilities: Branch & Operations Management : To manage branch operations and report to branch/regional manager on a daily basis Including Schedule, Availability, Check-outs/deliveries, Check-ins/collections, grounded, bookings, non-revenues). Staff Supervision : To manage rental agents and ensure all functions are completed according to company standards. Fleet Allocation : To manage bookings and allocation of fleet and special equipment to ensure all bookings are fore filled according to company requirements. Branch Administration : To manage branch administration including petty cash, cross-border documents, Branch Invoicing: To manage rental processing including, rental packs, damage and claims pack, invoicing, and account receivable collecting all outstanding monies owed (Cash and Account). Maintenance Management: To manage facilities and ensure maintenance is done and facilities are neat and presentable. Fleet Management: To manage and co-ordinate sub hires with branch or regional manager. Staff Management: To oversee and assist with rental agent, driver and commercial clean procedures: Operations Management: To oversee and ensure that before delivering a vehicle all checks have been done and that the vehicle is in 100% working order. Payments: To ensure that all Pre- Authorizations and payments are done on delivery of the vehicle Documentation: To ensure that all the necessary documentation like Drivers licences, passports and address of clients are obtained on delivery of vehicle. Protocols and Procedures: Ensure that all the Companies documentation is signed correctly and in the right place. Fleet Management: On Collection of vehicle from client, all damages to vehicle to be noted clearly and signed for by client. Also ensure accident claim form is completed and signed by client. Equipment Management: Ensure that all accessories that were delivered with vehicle are returned. EG: baby seats, GPS, WIFI, Fire Extinguisher, Roof Racks etc. Client Communication: Contact and SMS client prior to delivery and collection of vehicles Fleet Management: Ensure non revs are opened/closed for each trip on Wheelsys. Log sheets completed accurately and check sheets complete. If and when needed to asst with cleaning of vehicles Reservations: Loading bookings/ allocating vehicles/ check out booking/ prechecking bookings on Wheelsys.
