Operational Planning & Logistics



Staffing & Scheduling: Develop, manage, and optimise staff schedules (York, Edinburgh, London and Office Team), proactively adapting schedules to meet dynamic operational needs. Tour Capacity Planning: Strategically plan and allocate annual tour slots, forecasting demand for peak periods (bank holidays and seasonal events) to maximise resource and revenue opportunities. Private Hire Coordination: Oversee Private Hire staff allocations, including shift confirmations, updates to the operating systems, payroll notation, and communication. Performance Monitoring: Track, review, and report on key operational metrics including tour volume, closures, and staff attendance to inform business decisions. Resource Management: Manage contractor expenses and coordinate the procurement and distribution of staff uniforms. Company Purchases: Coordinate the purchase order process, including researching optimal value, submission, and diligent tracking of all orders

Administrative & Systems Management



Documentation & Process Integrity: Maintain and update critical operational documents (schedules, planners, fault logs, incident reports, and procedural manuals, etc.) on shared drives to ensure accuracy and accessibility. Booking & Customer Service Operations: Process bookings from multiple sales channels and manage dedicated mailboxes to ensure timely issue resolution and customer satisfaction. Manage inbound calls from across multiple brands: Handling inquiries, bookings and providing customer support. Systems Access Control: Administer staff access credentials, including onboarding and offboarding for all operating systems. Cancellation & Refund Management: Handle the tour cancellation process and coordinated customer refunds in accordance with company policy. Expense Processing: Process and file driver fuel receipts, managed fuel card orders, and maintain updated details. Technical Support: Provided first-line troubleshooting and solution support for on-site actors and escalate issues as required. ?Vehicle Maintenance Oversight: Report and track bus faults via the operational log and monitor completion of daily vehicle checks, submitting on behalf of drivers when necessary. ?Fleet Maintenance Coordination: Schedule and document all bus wash services, ensuring accurate billing through precise shift logging. Staff Incentive: Facilitate staff recognition by processing monthly bonus payments linked to 5-star reviews and sales performance. Staff Liaison: Coordinate with actors and yard cleaners regarding schedules and assisted in ordering technical and cleaning supplies. Route Planning: Monitor potential road closures across all operating cities to proactively adjust routes and minimize service disruption. Daily Operations Communication: Distribute daily duty texts to staff confirming next-day duty and key updates. Clock in/out: Oversee daily attendance, manage clock-in/out procedures, and promptly arrange coverage for sick calls or late arrivals

HR Coordination



Talent Acquisition Support: Assist in recruitment, managing candidate data and onboarding for new actors, drivers, yard cleaners, and street team members, including sending manuals, welcome emails, contracts and facilitate new hire communications.
