The Maintenance Operational Administrator is responsible for capturing, managing, and reporting all data generated by the Maintenance Department. The role ensures the smooth operation of maintenance processes through accurate data management, system oversight, and reporting. This includes managing critical systems such as camera systems and vehicle tracking systems, inventory data, and compliance records, while providing support to finance and administrative functions as required.
Minimum Requirements
Required Skills & Competencies
Proficiency with maintenance systems, including camera and vehicle tracking systems (e.g., Bidtrack).
Strong knowledge of inventory management and reporting systems.
Excellent organisational and time management skills.
Strong communication skills, both written and verbal.
Skilled in report development and ensuring data integrity.
Proficiency in Microsoft Office Suite and Microsoft Forms.
Ability to troubleshoot and resolve system issues.
Ability to work independently and collaboratively within a team.
Education & Experience
Minimum of a Matric Certificate (or equivalent).
Relevant certifications in maintenance management, inventory management, or systems administration (advantageous).
Previous experience in a maintenance administration or systems support role preferred.
Experience working on MS Power BI (Advantageous)
Physical Requirements
Ability to work in both office and operational environments.
Duties and Responsibilities
Key Responsibilities
Camera Systems Management
Oversee the maintenance and operation of all business camera systems.
Conduct routine checks to ensure cameras are fully functional.
Address issues promptly and initiate corrective actions.
Maintain logs of system performance and issues.
Generate reports on system status and incidents.
Vehicle Tracking System (Bidtrack)
Manage the Bidtrack vehicle tracking system for accurate data capture.
Perform routine checks and updates to ensure system accuracy.
Add new vehicles and maintain existing vehicle records.
Generate and review performance and usage reports.
Stores Inventory & Systems Management
Maintain accurate inventory records of all materials and assets.
Track usage, monitor stock levels, and identify discrepancies.
Provide regular inventory reports and support operational planning.
Collaborate with colleagues to ensure accurate documentation of inventory-related activities.
Financial Administration Support
Stand in for the Maintenance Finance Administrator when required.
Support financial reporting, budgeting, and invoicing tasks.
Reporting & Dashboard Development
Develop and maintain accurate reports on system performance, asset maintenance, and inventory.
Deliver reports and dashboards to stakeholders on time.
Meeting Administration
Attend departmental meetings, record minutes, and distribute deliverables.
Present report dashboards and provide updates on maintenance activities.
MSForms Development & Maintenance
Create and maintain Microsoft Forms used by the Maintenance Department.
