The purpose of the Human Resource Officer is to support the Human Resource Business Partner (HRBP) todeliver day to day service and to enhance HR service delivery capability to line management and staff.
To maintain SAPmaster data , reporting and general administration including but not limited to appointments, termination of employment contracts.
Formal education
Grade 12
HR Diploma/ Revelant degree
Work experience
3-5 years HR and payroll administration experience
SAP knowledge (Essential)
SAP reporting (Advantageous)
Accuracy and ability to pay attention to detail
Proven work experience as an HR Administrator, HR Administrative Assistant or relevant role
Computer literacy (MS Office applications, in particular)
Thorough knowledge of labour laws
Excellent organizational skills, with an ability to prioritize important projects
Good communication skills
Up to date with legislation changes regarding payroll, Basic Conditions of Employment Act (BCEA) and all payroll statutory deductions.
Maintain client relationships
Problem solving and conflict management skills
Technical / legal / iso certification
MS Office Basic (Word, Excel, Outlook, Teams, PowerPoint)
1.2 Customer Perspective (a) Response to queries or problems associated with people processes from, e.g. clients, vendors, government officials and financial institutions and external/internal stakeholders
1.3 Internal Perspective
Organize and maintain personnel records
Update internal databases (e.g. record sick or maternity leave)
Prepare HR documents, i.e., employment contracts and new hire guides
Revise company policies
Liaise with external partners, i.e., insurance vendors, and ensure legal compliance
Create regular HR reports
Handle employees HR queries
Assist payroll department by providing relevant employee information (i.e, all types of leave and days and work schedules)
Participate in HR projects
Provide the following HR administration support:
Create contractor contracts Hand over all HR related information to Payroll Officer Ensure that all new employees are informed of billing periods, pension/provident/medical options, etc.
Handle the below general management of people practices:
Schedule and conduct exit interview Assist with the HRBP with relocation, retention bonus letters, etc. Ensure that all IOD documentation is processed and captured on the system
Handle below Industrial relations administration:
Ensure that all disciplinary outcome are captured on SAP
Resonsible for the below Management information and reporting:
Check and verify employee supporting documents received from Human Resources or HRBP, communicate discrepancies and escalate non compliance. Compile various reports, i.e. leave, contracts, exit interviews, organisational structure, onboarding, etc.
