JOB SUMMARY

Ensure Human Resources administration and services are executed in an efficient and effective manner by providing the necessary support to internal customers and Department Heads.Contribute to a progressive and service orientated Human Resources function by ensuring that all Human Resources processes and services are carried out fairly and with consistency.

RECRUITMENT AND SELECTION:

Own the recruitment process in consultation with departmental and HR management and ensure compliance;

Load job requisition via SAP, advertise internally and externally for the prescribed period (if applicable);

Ensure the smartsheet is updated based on progress;

Keep recruitment board up to date to assist other HR colleagues;

Utilise SAP for advertising and candidate management;

Source suitable candidates on online platforms and ex-colleagues Mailbox database;

Screen applications, shortlist and consult with relevant HOD;

From shortlist, co-ordinate completion of Propel assessment and send results to HOD;

Compile a behavioural interview guide in consultation with relevant HOD;

Co-ordinate set up interviews for shortlisted candidates with line manager and HR representative;

Conduct a consensus meeting with Hiring Manager and compare evaluation form notes.

Update spreadsheet with all data gathered on candidates and notes.

Complete at least 2 references per final candidate;

Ensure EAF is completed and present final candidate to HR Director for signoff;

Ensure offer and regret letters are sent;

Keep all parties informed of all progress throughout.

EMPLOYMENT EQUITY

Assist HR Manager to establish EE Forum;

Co-ordinate and arrange meetings;

Prepare agenda for meeting;

Keep minutes of the meeting;

Assist HR Manager to compile plan and report;

Track monthly progress and discuss with HR Manager;

Drive EE goals through recruitment and other processes;

Assist HR manager to conduct interventions aimed to manage diversity (Survey, analyse results etc.)

Update Employment Equity plan with any new barriers or progress made.

ABSENTEEISM MANAGEMENT

Pull reports from relevant systems;

Interpret data and show trends etc.

Identify colleagues with high absenteeism rate or trends

Present to discuss with relevant HOD's and assist with action plans and implementation.

IR ENQUIRIES/HEARING ETC.

Assist HR Manager with arranging and co-ordination of IR training

Ensure that there is an updated list of qualified chairpersons and that these are allocated on a round-robin basis

Co-ordinate record keeping, scheduling of all hearings, disputes etc.

Ensure full record of all processes is filed on file and ensure file is ready before hearing or arbitration.

Assist with investigations and do follow ups

Ensure that all participating parties are fully prepared for enquiries

Assist with drafting documents etc. when required

Provide any other assistance as instructed and within your capability

Ensure all registers implemented are up to date at all times.

In cases of dismissals, an immediate email to be sent to the HR management, HOD and Security Management

Ensure all IR action taken is filed and update SAP and Smartsheet

Assist with action and follow up on all incidents & glitches

PERFORMANCE and INCAPACITY MANAGEMENT

. Incapacity due to ill health and poor performance

Assist with counselling sessions

Assist with contact with medical examiners etc (when necessary).

Ensure all record, counsellings and evidence are documented and filed

Assist to look at alternatives and assistance for colleague

Monitor progress

Ensure follow up meetings are held on set dates and give feedback to HRM

Ensure all counselling records, documents paperwork ready for enquiry

Assist with arrangement of enquiry

(same process with incapacity due to poor performance where relevant)

Update all trackers at all times

Any other assistance required by HRM from you within your capability

Capture all Performance Appraisals in SAP

HR SERVICE DELIVERY

Drive a strong service culture within the HR department

Ensure that HR service delivery is available at all times and assist clients

Assist HRM in any other matter related to service delivery if and when required.

Management of relationships with external service suppliers as well as colleagues and management

Clear communication and accessibility of policies and procedures once rolled out

Regular HR Surveys

Ensure full utilization of the iKonnect HR System

Ensure quick turnaround time on all service delivery

Ensure that all filing is logged and filed timeously

MANAGE EXIT PROCEDURE

Manage full exit procedure

Conduct exit meeting and interviews with colleagues

Put a process in place to ensure that exit interviews are conducted with all colleagues whose services are terminated.

Analyse exit interview feedback and raise all concerns regarding the exit interview with HRM and report on trends in HR meetings

Keep Terminations spreadsheet up to date and hand all termination EAFs to DHR

Assist HRM to investigate and communicate with management where necessary.

GRIEVANCES

Receive all grievances

Set up meeting

Report outcome to HRM

Refer more serious matters refer to HRM

Ensure grievance is finalised in set tme frames

Refer Unresolved grievances to HRM

Where a decision is taken in grievance, discuss with HRM and ensure it is actioned

REPORTING

Compile all reports required by the 5th monthly

ONBOARDING

Manage the onboarding process by ensuring that all check-ins are scheduled and following up to ensure that they have taken place

Keep Employment spreadsheet up to date and hand all employment EAFs to DHR for monthly payroll signoff

Load new starter onto SAP

PAYROLL & HR SYSTEMS

SAGE People 300: Manage the end-to-end HR Payroll administration, ensure system is maintained with accurate data at all times.

Sage ESS: Leave management and user access control

Tractech: monitor and ensure accurate timesheets, ensure HOD monthly timesheet approvals in line with payroll deadlines, timesheet monitoring for accuracy, loading and termination of system users.

UNIS: maintain and ensure data accuracy. i.e. load new starters, action promotions or data changes, terminate users.

SAP: maintain and ensure data accuracy. i.e. load new starters, action promotions or data changes, terminate users.

Maintain and ensure accurate data within all HR related systems: SAP, Tractech, SAGE ESS, SAGE People300 and UNIS

Assist in annual budget and salary survey preparation.

Skills, Experience & Educational Requirements

- Minimum Diploma or Bachelor's Degree level education in a related field.

- At least 2 years' experience in acknowledge / acclaimed / recognized resort and hotels and/or in related industry like tourism, food services and/or relevant experience in the position applying for.

- Strong interpersonal and communication skills with all levels, and ability to convey information clearly and effectively.

- Demonstrate leadership qualities.

- Project a positive attitude.

- Guest oriented, with focus on proving customer and personal service.

- Excellent Time Management, submitting relevant reports on time.

- Should be able to work independently (with minimum supervision) and must work well in a team.

- Should be flexible and able to work in a multi-tasking role.

- Computer literate and knowledge of HR Personnel and Payroll Systems

- Understanding of the Basic Conditions of Employment Act, Employment Equity and Labour Relations procedures, recruitment, training and personal information systems.
