JOB PURPOSE

The HR Assistant is responsible to support day-to-day operations of the HR department. Takes care of all HR aspects related to the employee life-cycle. Key point of contact for the employee for policies, onboarding, payroll related administration, absence management, and general labor conditions. The individual assistants with accurate and up-to-date reporting through the applicable Global and Local HR systems

Assist with the performance of a wide variety of HR tasks and use Human Resources Systems and other tools to assist with generating reports and process payroll to ensure data quality and consistency

The goal is to ensure that the HR department functions smoothly and effectively to deliver maximum value to the organization as a whole and to provide employees with a good experience and dynamism.

Key Functions and Responsibilities

Local HR management

  • Advising clients on the administration of human resources policies and procedures.
  • Ensuring HR programs and services are in compliance with established policies and procedures, laws, and regulations.
  • Assist with preparing and maintaining reports related to specific HR projects.
  • Provide assistant with developing methods for compiling and analyzing data for reports and special projects.
  • Ensure that Organization Chart with any structure and employee changes are kept up to date.
  • Assist with local Compliance Projects: E.g.: Employment Equity, Skills Development and, COIDA.
  • Support employee engagement activities.
  • Support Performance Management Process
  • Support and coordinate Group HR communication for the local office.
Reward and payroll
  • Assist with administering Group and local benefits schemes.
  • Execute employee administration: employees' files, input and output to/from payroll administration
  • Administer employee relations: absenteeism, relations with Workers Council's (if applicable), staff representatives, grievance procedures, disciplinary action, legal disputes, diversity inclusion.
  • Work with employee and client data and financial information.
  • Full processing of payroll on Sage 300 including submitting and facilitating all reports and 3rd party payments.
Onboarding and Offboarding
  • Assist with the facilitation of the full onboarding program for new joiners.
  • Administer all terminations/offboarding: resignations, retirement, redundancy, dismissals, long term sickness, death-in service etc.
Social Events and CSR

Assist with the arranging and coordinating of all social and CSR events.

Competencies and Skills
  • Solid payroll knowledge with experience working on Sage 300
  • Extensive knowledge of MS Office (especially Excel), knowledge of HR systems is a plus.
  • Strong verbal and written communication skills and the ability to collaborate with different teams and HR partners.
  • The ability to build strong working relationships with the team, internal partners, stakeholders and suppliers to deliver a high-quality of service.
  • Pro-active, hands-on, flexible, and eager to learn.
  • Be innovative, creative and driven, with a strong desire to continuously improve processes.
  • High degree of resilience.
Able to perform under pressure and with demanding deadlines.

Experience and Qualifications
  • Relevant degree in human resource management.
  • Minimum of 2 years of experience in HR, preferably with payroll and Labour Relations as a main function.
  • Broad background knowledge of South African employment laws.
  • Languages skills: English, any European language would be advantageous.
  • Experience in an international environment is a plus.
