Job Description


This role will be responsible for providing a high-level executive support to the Sunbet CE with operational oversight of the Sunbet Office. The incumbent will ensure seamless executive workflow by managing and coordinating schedules, correspondence, projects, and stakeholder communications, while also overseeing the day-to-day operations of the office. The role requires discretion, organisational excellence, attention to detail, and the ability to manage multiple priorities with professionalism and efficiency.Qualifications

  • 2-Year Diploma in business administration or project co-ordination
Experience
  • 6-8 yearsxe2x80x99 significant executive support experience, including supporting C-level executives.
  • Track record in office management (emails, typing, diary management, etc.) and meeting co-ordination
  • Demonstrated experience in communicating and dealing with multiple contractors, and stakeholders
  • Well-presented individual with high levels of professionalism

Key Performance Areas
  • Provide full-spectrum support to the CE, including complex calendar and diary management, travel planning, meeting coordination, and confidential correspondence
  • Serve as the primary liaison for internal and external stakeholders on all CE matters, ensuring professional and timely communication
  • Assist with the preparation of reports, presentations, and briefing documents ahead of meetings and engagements
  • Anticipate the CExe2x80x99s needs for upcoming events, meetings, or decisions and provide proactive support
  • Draft, proofread, and finalise outgoing communication and documentation from the CExe2x80x99s office
  • Coordinate logistics for Board and Executive meetings, and key leadership engagements
  • Facilitate media and communication coordination in conjunction with the PR partner
  • Manage office inventory, supplies, maintenance services, and vendor relationships
  • Ensure health and safety compliance and monitor facility-related policies and procedures are adhered to
  • Coordinate workspace readiness for new hires and assist with onboarding processes
  • Manage central filing systems (electronic and physical), ensuring sensitive and confidential information is stored securely and aligned with audit requirements
  • Liaise with building management and service providers for maintenance, access control, and facility support
  • Track project deliverables and report on progress, ensuring alignment with budgets and timelines
  • Coordinate quarterly Exco meetings, and other business-critical sessions, including venue booking, invitations and distribution of materials
  • Manage internal and external hospitality arrangements, including accommodation, venue logistics, and executive travel
  • Process and reconcile supplier invoices, ensuring correct allocation and resolving queries with finance teams
  • Manage procurement of office-related services and supplies in line with budget constraints
  • Coordinate loading and verification of vendor documentation
