Job Description


An exciting opportunity has become available for an Executive Assistant within a Business Consulting company. The position is based in Sandton, Johannesburg.

REQUIREMENTS:

  • Matric
  • A relevant tertiary qualification
  • Solid previous experience in an Executive Support role
  • French Speaking (advantageous)
  • Organizational Skills: Exceptional ability to manage multiple tasks
  • Communication Skills: Strong verbal and written communication
  • Decision-Making Abilities: Capable of making administrative decisions when required
  • Detail-Oriented: Ensure accuracy in all tasks
  • Adaptability: Navigate the balance between executive and personal tasks
  • Computer Literacy: Proficient in office software, collaboration tools
  • Discretion: Maintain confidentiality in all professional and personal matters
  • Proactive Attitude: Anticipate both business and personal needs
  • Valid Driver's License: For potential travel and errands
RESPONSIBILITIES:
  • Assist in preparing reports, presentations, and data analysis to support decision-making
  • Organize, schedule, and maintain appointments, business meetings, and personal events
  • Ensure no overlaps in appointments, meetings and personal events
  • Arrange meeting logistics, prepare materials, set up tech, and sometimes attend meetings to take notes or minutes
  • Prioritize and respond to emails, draft correspondence, and manage communications flow.
  • Coordinate business and personal travel - including flights, accommodations, and itineraries.
  • Prepare expense reports, oversee budgets, and manage invoicing
  • Oversee and participate in projects, ensuring they stay on track (project management)
  • Assist in planning and organizing both corporate and personal events (event coordination)
  • Handle sensitive information with utmost discretion (confidentiality)
  • Perform personal tasks such as shopping or picking up items (running errands)
  • Conduct research on business opportunities, competitors, and personal interests as required
  • Maintain both business and personal files, ensuring they are organized and up-to-date
  • Manage speaker bookings and booking requests
  • Respond to leads, do initial briefing meetings / scope of work, send quotes, follow-up with bookings
  • Network Management
  • Maintain and periodically update a database of contacts, noting the last interaction, ensuring the executive stays in touch with crucial business contacts.
  • Show preparation for CEO for interviews, etc.
