A credit controller is responsible for recovering any unpaid money owed to the company using a proactive approach. A credit controller manages the clients' credit limit, ensuring that the client trades within their approved limit. They proactively ensure that the client receives statements and invoices, resolve any problems concerning payment on invoices, reconcile complex accounts, and escalate any potential debtors' issues to management.
DUTIES AND RESPONSIBILITIES
Communication
Represent the company in all forms of communication, maintaining good working relationships and networks with internal and external stakeholders, external suppliers, and clients.
Respond to and follow up on all enquiries by email, telephone and personal visits as required.
Responsible for building and maintaining positive relationships with internal and external stakeholders.
Demonstrate a strong customer service focus and quality communication and output in all interactions with key stakeholders and external contacts.
Efficiency
Meet monthly collection targets.
Perform Daily Cash collection calls (20 -25 daily)
Send statements, follow up by phone, expedite all debtor payments to maintain adequate cash flow, and address any overdue payments following company policy and procedure.
Obtain approval of all credit requests before processing, following up on timely allocation of payments received credit limit and contact details to ensure that all debtor accounts are correct and current.
Maintain the credit cover limits for each debtor's account and ensure accounts are put on hold timeously when limits are reached, or amounts are overdue.
Be proactive at managing customer credit limits by following up with sales, open customer orders, customer payment history and current ageing.
Manage overdue and maxed-limit customer accounts by engaging with all role players.
Overall responsibility for customer accounts maintenance in the financial system.
Daily update of the overdue debt tracker, customer on and off hold lists and monies received in advance to all sales staff and other relevant team members.
Processing of journals and processing cash sales banking daily
Customer Queries
List over due's and queries outstanding
Chase overdue invoices by Telephone, emails and/or dunning letters within the agreed timescale
Escalate the overdue balances as per the credit policy.
Debtor text screen to be updated and maintained daily
Communication with manager
Allocate credit notes
Mail requested documentation to client
Identify payment patterns and propose actions to minimise the risk.
Advise of Potential write-off on irrecoverable receivables
Administration
Ensure Master data of client is correct and updated regularly
Identify, record and co-ordinate the resolution of any query raised by customers. There must be close liaison between the Credit Controller and the relevant Operational/Sales Department to ensure that queries are resolved smoothly and in due time.
Extract an age analysis and update/maintain the age analysis data.
Extract and report on overdue customers.
Prepare month end reports for the Financial Manager
Assist with audit preparations
Draw up and approve customer payment arrangements
Processing debtors payments in bank daily
Write out journals and get appropriate authorisation for HO to process
Filing according to set standards and procedures.
EDUCATION, EXPERIENCE AND SKILLS
National Certificate NQF Level 4
Post-secondary degree or diploma in finance.
Minimum three (3) years of progressively responsible and diversified Accounts Receivables experience in a similar role,
Expert proficiency with Microsoft Office and desktop publishing software; ability to design and edit graphic presentations and materials
Strong verbal and written communication skills
Exceptional organisational skills and impeccable attention to detail.
A high degree of professionalism in dealing with diverse groups of people, including Board members, senior executives, and staff.
Expert in time management to make appropriate, informed decisions regarding priorities and available time. Ability to react promptly to situations requiring quick response or turnaround.
Ability to complete many tasks and projects with little or no guidance.
Understanding and experience in processing entries within accounting packages
Good knowledge of accounts receivable
