to oversee and manage administrative and account-related operations within the organisation. The successful candidate will play a key role in ensuring efficient workflows, accurate record-keeping, and effective communication across departments.
Key Responsibilities:
Administration & Account Management
Process new client applications and create profiles across all relevant platforms
Create and maintain client profiles and services on
Avoxi, Splynx, and Xero
Maintain and update installation dates for voice and data services
Conduct weekly and monthly checks on clients, active services, and faults
Ensure all clients are active and accurately reflected on
Splynx
at month end
Manage and maintain all customer account profiles across all systems
Processing & Controls
Receive and process all applications, ensuring services are correctly loaded
Perform regular reconciliations and validations of active clients and services
Ensure accuracy and completeness of all account-related information
Communication
Act as a point of contact for internal and external stakeholders
Manage incoming and outgoing communication via email, telephone, and WhatsApp
Facilitate effective communication between departments, teams, and management
Record Keeping & Documentation
Maintain accurate records, databases, and documentation across all platforms
Ensure all installation details, service records, and dates are updated timeously
Prepare and distribute reports, schedules, and documentation as required
Ensure compliance with record-keeping standards set by management
Administrative Support
Provide administrative support to various departments as required
Handle sensitive and confidential information with discretion
Ensure all documentation is completed accurately and supported by required records
Problem Solving
Identify and resolve administrative issues promptly
Proactively identify potential risks and implement solutions
Escalate complex issues to management when necessary
Requirements:
Previous experience in an accounts or billing role
Strong attention to detail and excellent organisational skills
Experience with accounting and billing systems (Xero and Splynx )
Ability to manage high volumes of data accurately and meet strict deadlines
Strong communication and customer service skills
Qualifications:
Certificate or Diploma in
Accounting, Finance, Bookkeeping, or a related field
