Position Overview
The core purpose of the role is to follow up on all vehicles out of service at dealerships. The incumbent is responsible for updating comments regarding each vehicle and pushing for a quick turnaround time. Quotes if required need to be received and checked so the Procurement team can issue orders and repairs can start. The incumbent will deal with the relevant technical representative from each OEM regarding excessive downtime and warranty issues.

Specific Role Responsibilities
Job Outputs:
Updating Impress and excel spread sheets
Office administrative support.
Price checking and analyzing of quotes and negotiating beter pricing
Daily contact with service advisors and managers at various dealerships
Capturing of data
Juggling various feedback from various dealerships
Updating Impress on work done on a vehicle
Compiling weekly stats for reporting purposes
Running Tracker reports and updating Impress accordingly
Following up with the relevant OEM regarding parts delays
Managing parts delays data and ETD`s
Preparing downtime billing
Preparing service rebate data
Requesting quotes, pictures, reports, parts delay forms and job cards from dealerships.
Emailing branches on collections and doing follow ups
Update data on all relevant systems and Supplier Portals
Resolving of technical related queries within 48 hours or escalating if required.
Ensure all Maintenance related documents are uploaded to OnBase immediately once updating of systems are completed
Dealing with suppliers
Performing ad-hoc administrative activities that may not be directly related to the core duties of the position
Achieve set KPI

Qualifications and Experience
Minimum Experience
2 years of administrative experience
2 years of basic mechanical knowledge and understanding of the technical aspects of a vehicle.
Minimum Qualification
NQF Level 4 qualification (Grade 12 or equivalent)
Minimum Requirements
Computer Literacy
Code 8 driver's license is a must
Proficiency Email/Excel/Word. Must be able to do pivot tables, vlookups and formulate on Excel
Be prepared to work overtime when necessary.
