Workflow Automation Specialist - Role Summary

Purpose

Design, configure, and maintain workflow automation solutions that enhance operational efficiency, reduce manual effort, and support digital transformation. Ensure compliance with Outworx's Integrated Management System (ISO, SOC 2, PCI, POPIA, GDPR).

Requirements

Qualifications

Degree/Diploma in Information Systems or related field. Certifications in automation tools (Power Automate, UiPath, etc.).

Knowledge

Workflow design, process mapping, API integrations. Compliance frameworks and business continuity.

Skills

Microsoft 365 and SharePoint expertise. Analytical thinking, stakeholder management, documentation.

Experience

3-6 years in workflow automation or process improvement. Proven success in BPO or compliance-driven environments.

Key Responsibilities

Align automation with business strategy and compliance. Embed automation into BI and Continuous Improvement functions.

Stakeholder Engagement

Collaborate with departments to define and validate automation needs. Communicate progress and benefits to stakeholders.

Risk & Compliance

Identify and mitigate automation risks. Ensure adherence to global compliance standards.
4.

Delivery & Operations

Configure and monitor workflows using approved platforms. Maintain documentation and report ROI.

Training & Adoption

Train users and promote best practices. Support cross-team knowledge sharing.
6.

Customer Experience

Ensure automation enhances service delivery. Monitor outputs for accuracy and timeliness.

Security & Privacy

Apply data protection standards. Report any material breaches.
8.

Technology Enablement

Use tools like Power Automate, UiPath, Nintex, Zapier. Recommend new digital solutions.
9.

Reporting & Analytics

Develop performance reports and dashboards. Provide insights on ROI and compliance.

Financial Stewardship

Design cost-effective automation. Highlight savings and escalate investment needs.

Align automation with resource planning. Document workflows for resilience and recovery.
