Transport Administrator
to coordinate, manage, and oversee the administrative and operational activities within our transport function. In this role, you will ensure efficient scheduling, accurate documentation, regulatory compliance, and exceptional communication with clients and service providers. Accuracy, reliability, and strong time management will be key to your success.
Key ResponsibilitiesAdministrative Duties
Coordinate daily transport schedules and route planning with service providers.
Prepare, capture, and maintain all transport documentation, including shipment invoices, logbook entries, and transport instructions.
Perform accurate data entry across logistics systems and internal reports, including the container tracker and invoice reports.
Maintain compliant and up-to-date records of shipments, inventory, and transport activities.
Track deadlines and ensure timely submission of transport-related reports.
Logistical & Operational Duties
Ensure compliance with internal transport procedures, health and safety regulations, and national transport legislation.
Monitor and manage transport costs, analyse invoice reports, and prepare monthly budget statistics.
Communicate effectively with transport providers, clients, and internal departments to ensure exceptional service levels.
Handle inquiries and complaints professionally, providing quick and effective problem resolution.
Send regular delivery updates and status reports to clients.
Client Liaison & Onboarding
Manage onboarding of new transport providers by collecting and validating the required 10 documents:
SARS Tax Clearance
B-BBEE Certificate
Workmen's Compensation
Time Stamp Verification
Bank Letter
Credit Application
GTI (Goods in Transit) Insurance
Company Registration Documents
Valid Licenses
Additional Relevant Documents
Verify all documentation using an onboarding checklist and maintain well-organised digital records.
Request updated GTI insurance certificates when required and upload them to internal systems.
Required Skills and Attributes
Strong punctuality and commitment to meeting deadlines.
Exceptional attention to detail and high accuracy.
Excellent time management and the ability to prioritise effectively.
Strong written and verbal communication skills.
Proficiency in Microsoft Office and transport/logistics systems.
Ability to work independently while managing multiple tasks efficiently.
