Corresponding daily with recruiters, candidates, hiring managers and any other stakeholders, and providing an overall positive experience for all parties involved.
Scheduling and coordinating interviews and other necessary calendar items via Outlook and Teams
Conducting reference checks and screening
Facilitating MIE checks with candidates
Scheduling and coordinating travel arrangements where necessary
Onboarding
Facilitating all onboarding tasks and maintaining onboarding tracker documents. This includes preparing welcome packs for the first day, ensuring all stationery and equipment is ready for the new starter, ordering lunch for their first week and sending the links for their 30 and 60 day catch-ups.
Setting up onboarding overview sessions 6 months in advance to secure meeting rooms and space in the host's diary.
Monitoring overview session registers and rescheduling them for anyone who misses a session.
Facilitating and monitoring the onboarding review process. This includes sending out the onboarding review documents to the direct line manager; monitoring feedback aligned to probation period and issuing probation completion letters.
Facilitation
Facilitating payroll packs where no sourcing / interview is required i.e. onboarding only roles, transfers, promotions or contract extensions / conversions.
Supporting talent partners with candidate and process management in the Applicant Tracking System (ATS). This may include maintaining and updating systems with notes and statuses of candidates.
Assisting the talent partners with drafting paperwork for offers, onboarding and payroll packs.
Assisting the talent partners with email/ phone correspondence with shortlisted candidates.
Auditing payroll packs, ensuring that documents are completed fully and accurately before submitting to payroll and following up with candidates when documents are missing.
Providing ad hoc support to talent partners and the broader HR team as needed.
MINIMUM REQUIREMENTS:
Tertiary qualification will be an advantage
Minimum 2 years of administrative experience in a fast-paced environment, ideally within recruiting, HR, sales or a high-volume support role. Recruitment agency experience is strongly preferred.
REQUIRED KNOWLEDGE / TECHNICAL SKILLS:
MS Outlook or other similar scheduling software
Applicant Tracking System or other detail-oriented tracking software.
Strong familiarity with MS Outlook and Excel required
