Job Description


Job Purpose:

The purpose of this role is to work as a liaison among stakeholders in order to identify areas where the organisation can improve processes and workflows to remain competitive in the industry. The specialist process engineer must understand business problems, research and benchmark them with industry best practices for improvement and optimization thereof.

This position reports to a Senior Specialist: Digital Business Enablers.

Key Performance Areas

Strategic Function:

  • Identify areas for improvement and develop strategies to enhance business processes.
  • Optimization of business processes to enable achievement and alignment with the strategic goals or objectives.
  • Support the implementation of the business unit balance score card (BSC) initiatives.
Product Management:

1. AS IS business processes:
  • Analyse the current business processes to identify inefficiencies.
  • Map and maintain the current business processes on the identified business process mapping tool.
  • Assist the process owners to document and benchmark the policies.
  • Define and model business architecture to demonstrate how elements such as capabilities, processes, organization and information fit together.
  • Document the procedures to preserve key knowledge and remove ambiguity.
  • Design workflow and process strategies to improve business performance.
  • Create and present process reports for client approval.
  • Support the implementation of the revised business processes and workflows.
  • Monitor the efficacy of updated workflows.
  • up to date with the latest business process practices and technologies.
2. TO BE business processes:
  • Define the scope of the new or revised (TO BE) processes.
  • Map and maintain the TO BE business processes on the identified business process mapping tool.
3. Enterprise process understanding, maturity and improvement:
  • Identify and draw the organisation level end to end process maps.
  • Conduct annual process maturity assessment.
  • Determine desired process maturity for the BUxe2x80x99s.
  • Provide data on processes maturity and percentage of process automated.
  • Provide data on the links of process to procedures.
  • Provide information on the link between processes and manual forms.
  • Communicate AS IS and TO BE processes maturity.
  • Identify or provide support in identifying process improvements.
  • Participate in the improvement project(s) and elicit requirements, document and analyse, test and conduct a post implementation review of the processes.
  • Diagnose process improvement opportunities and develop solutions using principles of process excellence and related tools.
  • Become the business subject matter expert, and provide guidance and experience in business process analysis and improvements.
4. Process risk, process quality and reporting:
  • Define, identify and prioritise process risks.
  • Communicate process risks to all relevant stakeholders.
  • Analyse process quality from quality assurance (QA), review and identify process improvements from QA review results.
  • Report on process status in terms of maturity, terms of automated process improvements and risks.
5. Solution assessment and validation:
  • Evaluate alternative process solutions and technology options.
  • Contribute to selection of process solution and their usability.
  • Support the quality assurance of the process and implementation of process solution.
  • Calculate the return on investment (ROI) of the process solution and communicate the process solution impact.
  • Support post implementation review and assessment.
Stakeholder Management:
  • Establish, build and maintain collaborative working relationships with relevant internal stakeholders.
  • Build and maintain positive and value-adding relationships with relevant external stakeholders.
  • Scan the environment to ensure a clear understanding of stakeholder needs.
  • Proactively interact with stakeholders to determine their needs and deliver on them accordingly.
  • Engage with both internal and external stakeholders to identify and evaluate performance barriers and success in order to continuously improve on the service delivery.
  • Work in collaboration with colleagues in the centre to ensure timeous delivery of the work.
  • Establish and maintain relations with recognised professional bodies within own professional sphere.
  • Manage service level agreements (SLAs).
People Management:
  • Manage own performance.
  • Participate in the BUxe2x80x99s transformation, culture, and diversity and employment equity initiatives.
  • Commit to continuous learning and advancing of onexe2x80x99s skills so as to remain abreast with industry trends.
Financial Management and Operations Management:
  • Contribute to the compilation of centre budget, and manage project expenditure related to functional area.
  • Ensure compliance to the organisationxe2x80x99s governance processes, policies and processes.
  • Manage supply chain processes within own functional area.
Other Responsibilities:
  • Perform and/or manage other projects, tasks and assignments delegated by the supervisor not stipulated in the role profile description as and when required.
Formal Education:
  • This position requires a minimum qualification of a 3 years Diploma / Bachelor's degree (NQF level 7) in Computer Science, Information Systems, Technology and Engineering or related field.
  • Added advantage: TOGAF certification, process mapping or TOGAF Certification or Business Analysis Certificate e.g. AAC, CBAP, CBDA, CCA, CCBA, CPOA or ECBA
Experience:

Minimum 5 yearsxe2x80x99 experience in process mapping and or business analysis. The incumbent should also have experience in one or more of the following process improvement methodologies:
  • Six Sigma methodology
  • Total Quality Management (TQM)

  • Continuous improvement (kaizen)
  • Plan Do Check Act (PDCA)
  • Whys analysis
