Job Description


Our client in the Insurance industry is currently looking for a Short-Term Administrator, in Durbanville.

Responsibilities:

  • To support the smooth running of offices by carrying out clerical tasks and projects.
  • Assist brokers in obtaining quotes when necessary.
  • Assure that quotations are accurate, that client information provided by the broker and/or client is accurate, and that the client information is loaded into the necessary systems.
  • Ensure that feedback is provided to all parties. (i.e., client and brokers are informed of the status of the request)
  • Maintain responsibility for all client requests received as the primary responsible person to ensure that they are handled professionally and in accordance with the SLA.
  • Ensure that the client data meets the requirements of FICA.
  • Maintain all correspondence on and in accordance with prescribed systems and/or procedures.
  • Provide compliance assistance to brokers.
  • The creation and update of client records should be focused on high quality and quantity of data.
  • Maintain a continuously updated client database.
  • Send daily birthday reminders to clients and SMS messages when necessary.
  • Follow up with the broker regarding outstanding client information or compliance requirements.
  • Remind financial advisers to review and renew their contracts on a monthly basis.
  • Capture annual customer review dates to assist brokers in reviewing the customer base.
  • Provide reminders to brokers regarding upcoming reviews and renewals.
  • Ensure that all processes are executed on WorkPool and completed within the specified timeframe.
  • Ensure that all follow-up tasks are completed daily, and that feedback is documented.
  • Ensure that all fields are filled out and that all information is true and accurate to enable the compilation of reports.
  • Ensure that all tasks are completed on time or within the service level agreement.
  • Make sure Workpool is checked daily and that any compliance issues are addressed.
  • Communicate weekly with brokers regarding tasks that are pending (in progress)
  • Make sure that clients (advisers) receive high-quality service.
  • The adviser should be treated as a client.
  • Achieve alignment between adviser expectations and the Memorandum of Understanding (Annexure A) and selected service model in accordance with the Advisor Agreement.
  • Initiate and execute the referral process in the SFP Centre of Excellence (COE)
  • The relationship with all Financial Advisers must be professional.
  • Make sure there is a referral agreement in place.
  • Ensure that the referral form is completed with all the relevant information and signed by the appropriate individual.
  • WorkPool workflow to be followed.
  • Referrals should be forwarded to SSS for signature.
  • Referral actions must be linked to the appropriate task.
  • Follow-up on the completion of the referral by the SSS in accordance with the SLA.
  • Complete the task within the SLA by obtaining confirmation from SSS and linking it to the correct task.
Requirements:
  • RE5 xe2x80x93 Advantageous.
  • 1-2 yearsxe2x80x99 relevant Healthcare Administration work experience.
  • Strong administrative skills.
  • Systems, policy, and industry knowledge.
  • Proficient in both spoken and written English, and Afrikaans.
  • Computer literacy (Microsoft Office)
Remuneration:
  • Dependent on experience and qualification.
