Job Description


A leading manufacturer of automotive components in Durban is looking for a SHE Officer (6 months contract)

Incidents & Accidents - Control issue, numbering and logging of incident reports; liaise with Raise Opportunity for Improvements for overdue reports and corrective action; attend to call outs for incidents during hours.

Reporting Environmental spills to Branch Manager and National SHE Manager

Liaising with stakeholders and neighbours on all environmental air emissions.

Monthly SHE Stats - Update LTIFR, SHE Board, Injury Statistics, Metair Information for reporting, incident files, Update ISO, SHE certificates at Admin/ Reception Area Notice Board

Report of weekly stats - Every Monday Morning

SHE Committee - Schedule meetings for each month; Enter meeting dates in attendees' calendars; Send out agenda before each meeting (print hard copies for SHE Reps without email); conduct monthly meeting; complete minutes after meeting and send out (print hard copies for SHE Reps without email).

SHE Reps - Ensure we have enough SHE Reps in all departments and on all shifts. Advise HR Department when we have new, SHE reps for training (SHE Reps Course and Incident Investigation). Check and sign off SHE reps' books monthly. Carry out internal awareness training once they have had their external training. Once a month accompany a SHE rep to do his/her inspection. Prepare inspection books annually; Ensure list of SHE Reps is updated and sent to Notice Boards and Ops meeting; ensure appointment letters are kept up to date.

Induction - Co-ordinate and present all health and safety induction sessions; liaise with contractors / HR Department / Trainer; Process paperwork after induction; update database. Conduct annual refresher with staff.

COVID Training with staff and contractors. Maintain registers of all training. Filing daily screening checklist

Contractor Control - Ensure that contractors comply with all requirements and ensure they receive safety induction / refresher training. Check safety files on a regular basis according to the safety file checklist for approval purposes. Archive old contractor documentation (those that we will not use again); all contractors' paperwork to be checked and brought up to date.

Risk Assessments/Aspects and Impacts - Ensure that all risk assessments/aspects and impacts registers are updated and reviewed annually. Contractors to do baseline risk assessments, activity based HIRAs and aspects and impacts for each project. Do random control checks and ensure that all risk assessments are recorded on the system.

Permit Register - Ensure all items on permit register are renewed / obtained and update register regularly. All licences and permits must be valid.

Security - Liaise with Security on various matters and ensure their staff receive induction.

PPE - Ensure the supply off all PPE in all areas according to Risk Assessment for each department.

Appointment Letters - Ensure all appointment letters are kept up to date.

Type letters, get them signed, attach relevant sections of OHS Act, distribute, follow up to get them back, file, update records.

Occupational Hygiene - Ensure surveys are carried out when required (occupational hygiene, MHI etc); Draw up action plan from report and follow up.

Emergency Procedures - Review and update emergency procedures annually by holding regular meetings with Safety Reps /Managers, receiving input from them and from sources such as ISO14001/45001 audits, risk audits etc. Update emergency escape routes for all sections (not just departments), print, laminate and ensure that they are placed in each section.

Ensure training is done on escape routes; plan, organise and co-ordinate evacuation drills every quarter, including updating list of staff to ensure everyone is checked off the lists.

Compile report after each drill, update emergency procedure poster, evacuation procedure poster, after hours procedure poster and codes of conduct

Update list of SHE Reps, First Aiders and Fire Wardens - print and laminate all for whole Branch and distribute.

Ensure that fire drills/mock drills are carried out regularly

Safety Talks & Posters - Send out regular safety talks, safety posters.

SHE Audits - Conduct SHE audits Monthly.

Annual Induction Refresher - Annual refresher training send paperwork to HR when you done.

External Audits - assist with ISO14001/45001 audits; assist with Metair Risk Audit; Labour Department Inspections and assist National OHS Manager with Action Plan for each audit.

Internal Audits - Conduct Annual internal ISO14001/ISO45001 audits for all departments in the branch. Draw up action plans and issue to HODs.

Conduct annual internal waste audits

Lifting equipment inspection

Training - Identify training needs for any external training required (SHE Reps, Fire Wardens, and Incident Investigators) and ensure training needs analysis is sent to HR.

Carry out any required safety, health, and environmental training presentations.

Lockers /Ablution area inspections

Do full recon of lockers - and if he becomes permanent, to continue to control locker allocations. Ordering and issuing of new locks.

Weekly Inspections - Carry out weekly branch SHE Inspections; draw up reports and raise opportunity for improvement where required.

Cleaners - Monitor cleaners to ensure that they do their jobs as per the contract/ agreement.

Fire Equipment - Ensure fire equipment is maintained and serviced monthly and order new equipment when required.

Signage - Co-ordinate safety signage for whole Branch- draw up requirements, get quotation, place order, and raise job cards for maintenance purposes.

Make sure all PPE Signs are visible in each area were required

Fire Team - Continually update to ensure we have enough fire wardens to cover all shift and are trained accordingly.

Hydrant Checks - Checks are done by service provider , keep reports in SHE File.

The following qualifications and experience are required to perform the job successfully.

Grade 12 certificate

5-year experience in health, safety and environmental as SHE Officer

Formal Internal Auditor training in establishing, implementing, maintaining, and auditing Health, Safety and Environmental Management Systems such as ISO14001-2015 and ISO45001-2018 including knowledge in maintaining the ISO Integrated Management System.

Waste Management

Knowledge of The National Environmental Act.107 of 1998

Knowledge of Occupational Health and Safety Act No.85 of 1993 and Regulations

Construction regulations

Lead Regulations

Knowledge of the Compensations for Occupational Injuries and Diseases Act No.130 of 1993 and Regulations

Good Verbal and written communication skills

Code 8 driver's license.

SAMTRAC or NEBOSH

HIRA

General health and safety training.

Knowledge of legal requirements which relate to SHE

Computer Literacy

Ability to prepare documents professionally on time and accurately

Strong, meticulous and attention to detail

Strong problem -solving ability
