Job Description


We are looking for an Executive Assistant to perform a variety of administrative tasks and support our companyxe2x80x99s CEO & executive -level managers. The Senior Executive Assistant provides support to another individual or group of individuals by handling correspondence, managing calendars and appointments, arranging conferences and conference calls, making travel arrangements and providing other administrative tasks.

Responsibilities:

  • Directly supports Citi South Africa CEO and supports the corporate office
  • Manages day to day calendar(s) of CEO
  • Conduct monthly review of CEO and Franchise expenses and reconcile to budget
  • Coordinates all aspects of executive level manager appointments, meetings, receptions and conference calls
  • Prepare and review materials, minute taking and correspondence for internal meetings, external industry engagements and Board meetings
  • Support the CEO & business with arranging dinners, social events and public appearances
  • Assist with creation/modification of presentations, spreadsheets, and other various documents
  • Coordinates CEO and FGO travel arrangements; prepare and distribute schedules/agendas for travel
  • Prepares, reconciles, and tracks expense reports through Travel and Entertainment Expense system
  • Support FGO office with AD Hoc governance, risk and control administration.
  • Conduct desktop research on select topics that may be requested for the office of the CEO
  • Establish and nurture contacts with other Senior Executive Assistants within the firm and external industry/government contacts
  • Log client and Regulatory interactions in appropriate systems
  • Coordinates Global and Regional Senior Country Visits, including logistics, multiple agendas and business review/strategy materials
  • Orders supplies and process invoices through Procure to Pay system
  • Process and follow-up on Virtual Requests and Vendor Payments
  • Coordinate CSI events and related spend with ESPA
  • Assists in ad-hoc reports, Client engagement materials and special projects as needed
  • Trains, coaches or guides other administrative staff when required
  • Appropriately assess risk when business decisions are made, demonstrating particular consideration for the firm's reputation and safeguarding Citigroup, its clients and assets, by driving compliance with applicable laws, rules and regulations, adhering to Policy, applying sound ethical judgment regarding personal behaviour, conduct and business practices, and escalating, managing and reporting control issues with transparency.
Qualifications:
  • Previous office administration experience preferably within a large and complex financial services or similar organization
  • Highly proficient in Microsoft Office
  • Consistently demonstrates clear and concise written and verbal communication skills
  • Demonstrated ability to quickly gain command of new systems
  • Self-motivated ,detail oriented , intuitive and resilient
  • Exceptional organisational and diary management skills
  • Flawless communication and presentation skills, both written and verbal
  • Excellent social manner
  • Consistently demonstrates clear and concise written and verbal communication skills
  • Demonstrated ability to quickly gain command of new systems
  • Self-motivated, proactive, responsive and diligent

Education:
  • Bachelor's degree or equivalent experience
