Executive Assistant: Research and Development - 3months contract Medical Scheme - Pretoria

KPAs:

xc3xbc Plan, coordinate and manage CROs diary;

xc3xbc Plan, coordinate and manage meetings in respect of venues, catering and procurement;

xc3xbc Manage the divisions travel arrangements in line with the Schemes travel policy at least 7 days before meetings;

xc3xbc Track and monitor divisional scorecard

xc3xbc Prepare minutes, presentations and meeting packs as required;

xc3xbc Monitor committee submission dates, action lists and ensure deadlines are met

xc3xbc Compose, distribute and manage all relevant correspondence;

xc3xbc File all documents and correspondence in a well organised filing system;

xc3xbc Administer the divisional and CROs miscellaneous expenses;

xc3xbc Maintain divisional contacts;

xc3xbc Provide administrative support to the Research and Development Division;

xc3xbc Provide telecommunication support and services by attending to incoming and outgoing calls; and

Research Support.

xc3xbc Monitor and report on Divisional Budget.

xc3xbc Liaise and support Senior Managers regarding feedback and reports.

xc3xbc Ensure that Memos are reviewed, signed timeously and follow up till final sign-off

xc3xbc Monitor internal webpage for relevant communication and inform CRO and Senior Managers accordingly.

xc3xbc Handle SCM-related duties and generation of Purchase Orders on the AX system.

Qualification, skills and competencies required are:

xc3xbc Minimum two (2) year qualification in Administration or Secretarial Studies, or equivalent NQF Level

xc3xbc A diploma/degree in Commerce, Arts, Research/ Legal/Public Administration will be an added advantage;

xc3xbc 3-5 years personal assistance at management and executive level;

xc3xbc Understanding of stakeholder relationship engagement;

xc3xbc Respect the need for confidentiality and sensitive information.

xc3xbc Proficient in computer software such as Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat,

xc3xbc Experience in using search engines such as Google Scholar, Pubmed and the ability to use Reference Management applications

xc3xbc Attention to detail to ensure high quality work;

xc3xbc Self-Motivated and pro-active.

xc3xbc Strong problem solving skills;

xc3xbc Be organised and have good time management skills;

xc3xbc Have excellent written and verbal communication and interpersonal skills;

xc3xbc Have the ability to work well as part of a team;

xc3xbc Be responsible and reliable;

xc3xbc High level of integrity and accountability;

xc3xbc To work under pressure to agreed deadlines and adapt to change;

xc3xbc To work in a flexible manner including out of hours as and when required;

xc3xbc Excellent written English and the ability to communicate at all levels;

Desirable

xc3xbc Have an understanding of medical schemes industry;

xc3xbc Experience in the Healthcare Industry would be advantageous;

xc3xbc Must be in possession of a valid drivers license and own vehicle and be willing to travel at short notice;

xc3xbc An understanding of Medical Schemes Industry would be advantageous.
