Front Desk Management: Greet, welcome, and direct visitors in a professional manner. Notify relevant personnel of visitor arrivals and maintain a well-organized reception area.
Visitor Coordination: Receive, register, and guide visitors through the plant. Operate the plant intercom system and issue PPE and locker allocations as needed.
Telecommunication Handling: Manage incoming phone calls, transfer calls, take messages, and handle faxes to ensure prompt and accurate communication.
Mail & Courier Services: Receive and distribute letters, parcels, and publicity materials. Regularly check mailboxes and ensure timely internal delivery.
Administrative Support: Perform general administrative tasks including filing, laminating, maintaining internal contact lists, and updating business cards and email signatures.
Meeting & Hospitality Coordination: Arrange beverages and meals for external guests and staff from other branches.
Refreshments Management: Monitor, distribute, and record staff refreshments and supplies.
Health & Safety Compliance: Adhere to all health and safety practices, including COVID-19 protocols, and support the Health & Safety Department with related administrative tasks.
Policy Adherence: Ensure compliance with company rules, regulations, and disciplinary procedures.
Workflow Support: Maintain consistent office workflow and provide support to various departments as required.
Ad-hoc Duties: Assist with other administrative or office-related tasks as needed, within the scope of the role.
Requirements:
Matric or equivalent.
Min 1-2 years' experience in similar position
Excellent in Microsoft office.
Code 8 license
Organisation skills.
Read and write English
