Job Description

Job Summary:

To supervise Project Coordinators and client campaigns according to operational requirements.

Key Responsibilities and Deliverables

Campaign Roll-Out Management

Ensure effective documenting of campaign roll-out according to Client Manager brief Track campaign updates and communicate with operations team (according to internal

processes)

Provide regular updates to the Operations Manager with corrective plans in place

Assistance with 3rd Party Suppliers

Communicate with 3rd party suppliers to provide promotional material (costings and samples) Coordinate orders of promotional material and uniforms Arrange logistics of promotional material and uniforms Hold 3rd party suppliers accountable to campaign execution to each specific brief

Campaign Outcome Reporting and Tracking

Analyze data to create graphical feedback Collect campaign insights from relevant team members Collate feedback received from Project Coordinators into comprehensive Power Point

presentations

Track feedback to determine campaign success - provide learnings and insights to be reported

to client

Recruitment, Training and Staffing of Promotional Staff and Supervision

Ensure Project Coordinators solicit appropriate and sufficient numbers of promoters Set up recruitment calendars for Project Coordinators to manage database numbers of

promoters

Manage recruitment database regionally to ensure sufficient promoters are available and

trained

Conduct Quality Checks and Controls to Ensure Promotor Database Consists of Quality

Promoters

Ensure qualitative promoter inductions are presented Plan staffing requirements with National Ops/Account Manager as per client brief Send updated staffing list to NOM/BI Manager Receive training information from Account Manager and ensure that it is implemented Conduct training when required Ensure training venues confirmations are managed by Project Coordinators and communicated

in time

Ensure the required numbers of promoters attend training for each promotion Ensure Project Coordinators adhere to training register requirements Contact supervisors and provide them with the brief (information and logistical arrangements) Ensure supervisors attend training and are fully briefed

Execution of Field Operational Processes

Ensure staff are on shift as planned and communicated Ensure "online" or Manual survey/questionnaire compliance is achieved Ensure Supervisors and Project Coordinators conduct 'in-field' visits Ensure Project Coordinators manage escalated "performance" issues effectively Conduct monthly audits and submit report to Operations Manager Ensure stores are booked as per project brief and customer Ensure a register is kept by project coordinators of all store bookings made and submit to NAM Prepare and coordinate Regional Traffic Light Report and submit to Operations Manager Coordinate and submit photo portfolio to NAM/NOM

Management of Tools and Assets

Ensure that equipment, uniforms and peripherals are effectively managed as per policy Ensure all required assets are worn/used as per project brief/plan in field Ensure Project Coordinators comply to return and storage as per client brief at the end of

campaigns

Investigate, report and take corrective actions when losses occur

Staff Administration

Compile Regional promoter payment schedules Submit promoter payment schedules to respective Account Manager for approval Consolidate and prepare payment schedules for region once NAM confirms Forward consolidated payment schedule to NOM for submission to payroll


Submit Promoter payment schedule to Salary department as per agreed dates/process Submit Supervisor and Promoter Work Compliance weekly Track staff absenteeism and monitor trends Report non-compliance and absenteeism to NAM and Operations Manager

Knowledge Sharing

Coordinate competitor activity and potential tenders and share with business Update Ops / Account Manager on competitor activity Ensure effective communication of information with team Constantly seek improved ways of working to drive efficiency within the team


Minimum Qualifications: Diploma or Degree/NQF level 6 or 7

Minimum Experience: 4-5 years' experience in a Systems/ analytical environment preferably within FMCG
