Scheduling, where possible, the closest relevant installation team or subcontractor
Ensuring the orders has been managed efficiently within the SLA or customer request planned window
Chasing departments/person concerned for updates on work orders
Managing of aged tasks ensuring timely closure and updating all orders appropriately
Tracking and monitoring installation teams, reporting absences and skills deficiencies.
Working with the installation teams and subcontractors to ensure the SLA is going to be met and work load is manageable
Reporting any skills, resource deficiencies, discipline issues/general feedback concerning the Vulatel teams or subcontractors to the relevant managers
Reporting any scheduling issues or call progression problems to relevant parties
Instigating escalations procedures as appropriate
Escalating customer complaint/escalations through the relevant processes
Keeping the customer up to date with any changes/delays and are happy with the service
Report writing and presentations to respective clients and management team
Capturing of quotations and loading of DACs
Achieving the maximum personal KPI and assisting the team in achieving set targets
Establish working relationships with internal and external clients to identify and define project requirements, scope and objectives
Assisting the Managers in all assigned activities, typically this shall include assistance with, and co-ordination of, design, procurement, cost engineering, planning, build-out, commissioning, and closeout
Monitor project compliance with contract documents and defined scope of work
Escalate/Communicates issues/risks/barriers to upper management
Communicate status of milestones and forecasting completion
Disseminate information from a variety of sources
Ensure needs (internal and external) are met as the project evolves
Recognize when to report and escalate issues to management
Obtain detailed quotes from vendors
Process, and track purchase orders
Update Project Tracker (and other available trackers) with notes received, and milestones met
Qualification
Matric
A tertiary qualification is advantageous
Job Requirements
At least 2 -3 yearsxe2x80x99 experience in a resource coordinator function within the IT/telecommunications industry
Exposure to working in a national function with multiple regions is advantageous
Previous administrative experience preferred
