We're Hiring: Projects Assistant (FF&E & Project Administration)
? Location: Fourways, Sandton| ? Full-time
Are you detail-driven, organized, and experienced in supporting design or fit-out projects behind the scenes? We're looking for a Projects Assistant with a keen eye for detail and a passion for structure, process, and precision - especially within the world of Furniture, Fixtures & Equipment (FF&E).

? Your Role: What You'll Do
Working closely with Project Managers and internal teams, your day-to-day will focus on project administration, procurement support, and documentation - not client-facing, but absolutely crucial to project success.
? Project Administration

  • Support scheduling, timelines, and tracking of key deliverables
  • Prepare and update essential documents: reports, trackers, purchase orders, and budgets
  • Maintain structured digital and physical filing systems
  • Assist with invoice processing and budget reconciliation
? FF&E Coordination
  • Support FF&E sourcing, quotations, and supplier coordination
  • Create and maintain FF&E schedules and specifications
  • Track supplier lead times, delivery dates, and installation milestones
  • Compile and organize all close-out documentation
  • Coordinate sample requests and stock checks with suppliers
? Planning & Reporting
  • Build and manage detailed project spreadsheets
  • Monitor timelines and flag any potential risks or delays
  • Assist in generating project status reports and internal updates
? General Support
  • Provide admin support across finance, procurement, and site coordination
  • Collaborate with internal teams to ensure seamless project execution
? What We're Looking For
  • Experience in FF&E procurement or project administration (essential)
  • High proficiency in Microsoft Excel; experience with SAGE is a plus
  • Outstanding organizational and multitasking skills
  • Strong attention to detail, time management, and accuracy under pressure
  • Excellent written and verbal communication skills
  • A proactive, adaptable team player
  • Experience with hospitality, corporate, retail, or residential projects (advantageous)
