Responsibilities Includes:
Ensure smooth daily office operations through effective coordination and support.
Maintain full functionality of all office systems and equipment.
Accurately manage the Director's diary, meetings, and reminders.
Book travel (flights, hotels, transport) timeously with correct details and check-ins.
Draft and update written correspondence in priority order and within deadlines.
Handle or escalate all queries and requests within 24 hours.
Assist with the implementation of the Director's marketing ideas.
Attend meetings with the Director and suppliers; note key actions.
Manage advertising briefs and media schedules to meet deadlines.
Coordinate with designers, printers, and distributors to ensure timely outputs.
Update supplier pricing cycles and consolidate monthly records.
Process regional leave requests and submit for approval within 2 days.
Place accurate job orders with suppliers.
Manage stationery orders to avoid shortages.
Issue PO numbers within 24 hours of request.
Reconcile supplier accounts monthly and arrange for payment.
Qualifications and Experience
Matric (Grade 12)
Tertiary qualification (e.g. Diploma or Certificate in Office Administration, Business Administration, or Secretarial Studies) would be advantageous.
3-5 years' experience
in a Personal Assistant, Executive Assistant, or similar administrative support role.
Strong administration, organisation and prioritization skills.
Proven ability to manage
calendars, meetings, travel, and office systems.
