Personal Assistant: Executive Head

Job Description

1. Provide secretarial and administrative duties (TCF)




Attend to all incoming calls Attend to and sort mail Manage Executive Head diary Arrange and co-ordinate internal and external meetings/functions Compile and type letters Order stationary Liaise with IT on technical issues Attend to payment requests and credit card statements Record keeping of all committee documents and correspondence Receive visitors for Executive courteously Compile Presentations and Reports Monitor budget



2. Plan and organise meetings of the Executive Head.




Compile and distribute board packs and meetings/committees Compile and co-ordinate monthly management reports Provide executive with all relevant documentation Arrange refreshments for meetings Compile and distribute agendas and notice for meetings Take and distribution of minutes



3. Arrange for travel, accommodation and other requirements of the Executive Head.




Make and process travel and accommodation arrangements Process related claims


Formal Education:




Matric Secretarial Diploma



Technical/Legal Certification:





MS Office Advanced Minute Taking Course



Experience:





5 years' experience as an PA reporting to a Executive Head
