Job Description

We are a fast-growing catering company dedicated to delivering excellent service, quality food, and seamless event execution. We are seeking a highly organized and proactive individual to support our Directors and Operations team in the daily running of the business.

Role Overview



The PA to Directors & Operations Administrator will play a key role in ensuring the smooth flow of communication, administration, scheduling, and operational coordination. This role is ideal for someone at an early-mid stage of their administrative career with excellent attention to detail, strong problem-solving abilities, and the ability to work in a fast-paced environment.

Key Responsibilities



Personal Assistant to Directors



Manage calendars, appointments, and meeting schedules

Prepare meeting agendas, minutes, and follow-ups

Coordinate communication on behalf of directors

Draft professional emails, letters, and internal communications

Organize travel arrangements and accommodation when required

Maintain confidentiality and professionalism at all times

Operations Administration



Assist with daily operational planning for events and catering jobs

Ensure supplier orders, quotes, and invoices are accurate.

Maintain operations files, records, and documentation

Track inventory levels and coordinate stock replenishment with suppliers

Liaise with clients regarding bookings, updates, and event as required.

Support the operations team with any ad-hoc administrative tasks

Requirements



Minimum 2 years' experience as a PA, Administrator, or similar role

Experience in the catering, hospitality, or events industry is advantageous

Strong communication skills (written & verbal)

Excellent organizational and multitasking abilities

Excellent proficiency in MS Office (Word & Excel) and email systems.

Knowledge of Sage One (advantageous but not essential)

Ability to work under pressure and meet deadlines

Professional, reliable, and solution-driven

Valid driver's license and own transport.
