Position : Operations Assistant (Executive Assistant)
Work Hours (Client) : 8AM-4PM or 9AM-5PM CST
Pay Range : $800 - $1200 USD/month (varies based on skill set and experience level)
Location of Search : South Africa, Philippines, Latin America, or Any Region
Work Location : REMOTE
Company/Client Overview:
The company is a fast-growing senior living development company operating multiple 90-unit facilities across several U.S. states. With recent acquisitions and ongoing expansion, the company is experiencing rapid growth and seeks an Executive Assistant to support the Founder & CEO with day-to-day administrative operations and help streamline communication, scheduling, and business processes.
Duties and Responsibilities:
We are looking for a proactive, highly organized, and detail-oriented Executive Assistant to provide direct support to the CEO. This person will serve as the central operational support for both routine administrative tasks and dynamic projects as the business scales. This is an excellent opportunity for someone who thrives in a fast-paced environment and wants to work closely with a driven, visionary founder.

  • Manage the CEO's calendar, schedule meetings, and coordinate travel arrangements (flights, hotels, transport)
  • Draft, organize, and manage documents including contracts, reports, and internal communications
  • Assist with email and inbox management, prioritizing messages and drafting responses
  • Communicate clearly and professionally via email, internally and externally
  • Track and follow up on key projects and deadlines, acting as a project manager for internal initiatives
  • Use project management tools to support task tracking, updates, and coordination
  • Prepare presentations, reports, and summaries as needed
  • Help coordinate communication and requests between the CEO and facility directors
  • Maintain confidential information with a high level of discretion and professionalism
  • Perform light personal assistant tasks such as booking appointments or reservations as needed
Minimum Requirements:
Language requirement: Excellent English Communication Skills (accent is acceptable)
Education: Bachelor's Degree (ideally)
Experience: 2+ years of related experience
Industry: Real Estate (ideal)
  • 2+ years of experience in an Executive Assistant or Administrative Support role, ideally supporting a senior leader
  • Excellent written and verbal English communication skills
  • Experience with project management tools
  • Highly organized with strong attention to detail and the ability to multitask
  • Tech-savvy and comfortable using modern tools (Google Workspace, Zoom, Slack, Notion, etc.)
  • Ability to work independently, anticipate needs, and proactively solve problems
  • Strong interpersonal skills with a professional and positive demeanor
  • Availability to work full-time during U.S. business hours
Preferred (but not required)
  • Experience working in real estate, healthcare, or senior living industries
  • Familiarity with project management tools like Trello, Asana, or Monday.com
  • Background in customer service, operations, or business administration
