The Opportunity
We are seeking a highly organized and eager Sales Operations Assistant to provide critical daily support to our C-suite leader, helping manage and streamline our sales flow. Please note: This is an operational support role, not a direct sales or quota-carrying position. You will be a key player in our sales operations, directly contributing to our success by keeping our inbound and outbound processes running smoothly and efficiently.
This role is perfect for someone looking to jump into the world of sales operations, get hands-on experience, and help our leader focus on securing exciting new deals.
Key Responsibilities

  • Inbound Sales Process Support:
  • Help monitor new leads as they come into our Monday.com CRM, ensuring they move smoothly after the initial automated response.
  • Proposal Assembly & Customization: Work with existing templates to put together unique proposals for clients, adding specific details and pricing as needed.
  • Cost Information Gathering: Help gather important information about potential costs like city permits for drone shows, or rental fees for parking lots or parks. This info helps us create better quotes and avoid surprises for clients.
  • Proposal Delivery Support: Assist in getting proposals sent out to potential clients.
  • Client Follow-Up: Help manage the important task of following up with clients on many pending deals, making sure no opportunities are missed.
  • Outbound Campaign Assistance:
  • Assist with outbound email campaigns designed to generate new leads, reaching out to advertising agencies, event planners, and music festivals.
  • Sales Pipeline Organization:
  • Be the go-to person for making sure tasks are completed and projects are moving forward within the sales process.
  • Keep track of proposal progress to help our leader focus on selling.
  • General Administrative Support: Perform various day-to-day administrative tasks as assigned, directly supporting the C-suite leader's operational needs.
What We're Looking For
  • Experience in a Support Role: You have prior experience in an operations, executive assistant, or coordinator role, where you were responsible for supporting workflows and managing tasks.
  • Campaign Experience: You have experience or a strong understanding of how to assist with email campaigns (e.g., setting them up, tracking their progress).
  • Eager to Learn: You're excited to dive into sales operations and support a fast-paced environment.
  • Highly Organized: You love keeping things neat, tidy, and on track.
  • Detail-Oriented: You have a sharp eye for accuracy, especially when putting together important documents like proposals.
  • Great Communicator: You can write clearly and professionally for proposals and follow-ups.
  • Proactive & Helpful: You enjoy anticipating needs and finding ways to assist before being asked.
  • Tech Savvy: You're comfortable learning and using new software, especially CRM systems like Monday.com (familiarity is a plus!).
  • Adaptable: You can handle different tasks and switch gears easily in a busy environment.
  • Independent: You're comfortable managing your tasks with a clear understanding of priorities.
