The Office Manager is responsible for overseeing administrative operations, ensuring smooth office functionality, and managing bookkeeping tasks. This role requires strong organizational skills, attention to detail, and the ability to support business efficiency through effective financial and administrative management.
Key Responsibilities:
1. Administrative Management:
Oversee daily office operations, ensuring efficiency and organization.
Manage office supplies, equipment, and general office upkeep.
Handle correspondence, including emails, calls, and document management.
Coordinate meetings, schedules, and travel arrangements for management.
Assist in HR functions such as employee records, leave management, and recruitment coordination.
2. Bookkeeping & Financial Administration:
Maintain accurate financial records and process invoices, payments, and expense reports.
Reconcile bank statements and manage accounts payable/receivable.
Assist in payroll processing and maintain employee financial records.
Generate financial reports, assist with budgeting, and track financial performance.
Work closely with accountants and auditors for financial compliance.
3. Compliance & Record-Keeping:
Ensure compliance with company policies, waste management regulations, and financial standards.
Maintain proper documentation for waste disposal records, permits, and client contracts.
Keep records organized for easy retrieval and regulatory audits.
4. Customer & Supplier Coordination:
Serve as a point of contact for customers, suppliers, and service providers.
Process customer inquiries, quotes, and contracts efficiently.
Manage supplier relationships, including ordering and invoicing processes.
5. Reporting & Office Support:
Prepare reports on office operations, financial status, and compliance matters.
Provide administrative support to the management team.
Assist in developing office policies and procedures to improve efficiency.
Required Qualifications & Experience:
Minimum of 3-5 years experience in office management, administration, or bookkeeping.
Strong understanding of accounting principles and bookkeeping practices.
Proficiency in accounting software (e.g., QuickBooks, Sage, Xero) and Microsoft Office Suite.
Experience in waste management or a similar industry is an advantage.
Knowledge of compliance requirements for waste disposal and environmental regulations is a plus.
