Job Description

We are seeking an organised, proactive, and service-focused Office Manager & EXCO Assistant to manage the day-to-day running of our Allendale Head Office and provide support to two members of our EXCO team. This role plays a critical part in ensuring a professional and efficient office environment, while also assisting EXCO members with administrative coordination where needed.

Key Responsibilities:



Office Management (Office):



Manage office-related budgets, petty cash, and supplier invoices in coordination with the Finance team. Ensure meeting rooms and common areas are well maintained, presentable, and appropriately booked. Organise internal events, team functions, and assist with Head Office communication or initiatives. Oversee daily office operations including office facilities, supplies, and equipment maintenance. Assist with document control, printing, binding, and filing tasks.

EXCO Administrative Support:



Provide efficient, ad-hoc business-related administrative support to two EXCO members (not personal PA duties). Assist with scheduling, calendar management, and coordination of meetings. Arrange travel bookings, accommodation, and itineraries as needed. Prepare agendas, take minutes, and follow up on action items from key meetings where required. Assist with preparation of business reports, presentations, and professional correspondence. Facilitate internal communication between EXCO members and their teams or external stakeholders.

General Administration:



Act as the go-to person for day-to-day office queries at the Johannesburg Head Office. Support with visitor coordination, meeting setups, and ensuring office hospitality standards are maintained. Provide occasional back-up support to other admin functions within the business as needed. Assist with occasional personal tasks, errands, and appointments as required.
