Position Overview
We are seeking a highly organized and efficient Office Administrator to provide crucial support to a dynamic team of Directors, Consultants, and an Office Manager. In this role, you will be the backbone of the company's operations, ensuring high standards of accuracy, quality, and timeliness across all administrative functions.
The ideal candidate will have excellent organizational skills, a keen eye for detail, and the ability to handle multiple administrative tasks simultaneously in a fast-paced, remote environment.
Key Responsibilities
Executive Support: Manage diaries, appointments, timesheets, and expenses for the company Directors. Book and manage all travel arrangements, including hotels, flights, and car hire.
Project & Document Control: Provide administrative support on projects, maintain digital filing systems, and manage documentation to ensure all files are organized and easily accessible.
HR & Compliance Support: Assist in the recruitment and induction of new staff. Support the maintenance of company H&S processes, including preparing RAMs, managing PPE, and coordinating staff training. Manage and renew company insurance documents and maintain business policies and accreditations.
General Administration: Prepare and distribute correspondence, documents, and forms. Organize and attend team meetings, including taking minutes and managing action items. Update marketing materials and business collateral as required and manage office supply inventory.
Qualifications & Skills
Essential
Proven experience in an Administration and/or PA role.
Competent IT skills with high proficiency in MS Office (Excel, Word, PowerPoint).
Excellent communication and interpersonal abilities.
Self-motivated with highly accurate administration and organizational skills.
A team player with a proactive, "can-do" attitude and a genuine desire to learn.
Ability to multitask, prioritize effectively, and work on your own initiative.
Desirable
2+ years of previous administration or document control experience.
Familiarity with EDMS software (e.g., Aconex, Asite, ViewPoint 4P, Autodesk BIM360).
Previous experience in the Telecommunications or Construction industry.
Work Environment & Benefits
Schedule: Monday to Friday, 08:30 - 17:00.
