Job Title: Remote Office Administrator (Offshore)
Location: Remote (Must be available during EST hours)
Overview:
Were looking for a highly organized, proactive Remote Office Administrator to support our growing care services business. This offshore role plays a crucial part in ensuring smooth operations, efficient scheduling, and consistent client-caregiver coordination. The ideal candidate thrives in a remote, support-driven environment, is confident managing logistics, and is comfortable working within CRM systems like Salesforce.
Key Responsibilities:
Lead Management & Follow-Up (~510 hours/week)
Make follow-up calls to potential clients and assist with intake
Maintain timely, professional communication with leads
Update lead status and notes in Salesforce (or similar CRM)
Track follow-ups and identify any gaps in communication
Caregiver Scheduling & Coordination (~1015 hours/week)
Schedule caregivers and manage assignments
Respond to changes or call-offs with quick scheduling adjustments
Communicate shift details and confirm caregiver availability
Work with the client services team to ensure consistent coverage
Payroll Support (~5 hours/week)
Collect and verify caregiver time data
Ensure payroll information is accurate and submitted on time
Collaborate with payroll processing team to meet deadlines
Client Schedule & Service Review (~5 hours/week)
Monitor client schedules for open shifts, inconsistencies, or high turnover
Provide insights and reports to improve coverage and service quality
Administrative Support & Systems Management (~35 hours/week)
Provide occasional phone coverage and backup support
Maintain internal client trackers and perform light CRM admin tasks
Assist with data entry and system updates
Ideal Candidate:
2+ years in administration, operations, or scheduling
Experienced in remote, fast-paced work environments
Excellent verbal and written English communication
Familiar with Salesforce or similar CRM platforms (admin-level skills a plus)
Detail-oriented with strong organizational skills
Confident communicator with clients and internal teams
Background in healthcare or care services is a plus (not required)
Tools Youll Use:
Salesforce lead tracking, contact & schedule management
Google Sheets / Excel client trackers, payroll logs
VoIP / Call Tools for lead calls and overflow phone support
Scheduling Platforms internal and off-platform tools
