SCOPE AND PURPOSE OF JOB

To be responsible of all areas of the hotel when on duty, ensuring the smooth running of all areas, Guests are comfortable, security lock down is in place and all guests are safe. Welcomes and registers guests on arrival and allocates rooms. Operates the Property Management system and posts room, F&B and miscellaneous charges to Guest and house accounts. Prepares guest folio for guests and checks guests out upon departure. Process payments and keeps accurate filling of dockets with guest folio. Processes end of shift banking and balance with all Property Management system reports. Operate the switchboard and direct in-coming calls, take and relay messages. Make reservations on the system and efficiently communicate confirmation to guests. Deal with all guest queries and requests and arranges assistance as necessary. Responsible for auditing, balancing and consolidating departmental ledger and prelists and prepare hotel operating reports. Assist guests with any F&B requirements that they may have within the prescribed services of the hotel.

Must have a valid Code 10/PDP licence

Literacy

Able to read and write to complete guest registration, records and follow policy instructions.

Numeracy

Advanced Mathematical calculations to deal with reports, payments and calculate rates and discounts

Language

Excellent communication skills in English language - verbal and written

Physical

Well-groomed appearance, fit to be able to stand for long periods of time and able to assist guests in commercial areas.

Education / Formal Training

Grade 12 or equivalent, one-year tertiary course in Hotel Management or proven track record of having received on-job training in front office and night auditing duties. First aid and Fire certificate an advantage.

Competency

Competent in operating a computer and entering data, skilled in guest Relations and able to work under pressure - Have preferably held a position in front office environment for at least one year, and in F&B.
