Job Description

Position: Marketing VA + Assistant - Combined Role.
Location: Remote
Reports To: Strategic Marketing Director / COO
Type: Full-Time

About the Role:

The Marketing VA / Coordinator is responsible for day-to-day execution, coordination, and operational excellence across all marketing initiatives. This role turns strategy into action -- ensuring campaigns launch on time, systems stay clean, data is accurate, and nothing falls through the cracks.

This is a hands-on, execution-first role, ideal for someone who is highly organized, detail-oriented, systems-minded, and comfortable operating inside established plans and playbooks.

Core Objective:
Ensure marketing runs smoothly, consistently, and measurably, so leadership can focus on strategy, learning, and growth.

Key Responsibilities:

Campaign & Channel Execution:

1. Execute marketing campaigns across email, webinars, content, and digital channels.
2. Own end-to-end webinar logistics:

- Scheduling
- Registration pages
- Email reminders and follow-up sequences
- CRM tagging and attribution

3. Publish and coordinate content across website, email, and social platforms.
4. Maintain and manage the marketing calendar.

Marketing Operations & Systems::

1. Own day-to-day operation of the marketing tech stack (CRM, email platform, webinar tools, automation).
2. Ensure accurate tagging, segmentation, and lifecycle tracking in the CRM.
3. Maintain data hygiene and resolve inconsistencies quickly.
4. Support automation setup and ongoing optimization.

Analytics & Reporting::

1. Track weekly and monthly marketing KPIs.
2. Maintain dashboards and reporting tied to:

- Lead volume
- Conversion rates
- Funnel velocity
- Campaign performance

3. Flag issues early when metrics trend off target.
4. Prepare clear, concise reports for leadership review.

Coordination & Project Support:

1. Coordinate with staff and contractors (design, copy, video) to ensure timely delivery.
2. Track tasks, deadlines, and deliverables.
3. Follow up to ensure completion and quality standards.
4. Organize and maintain shared folders, assets, and documentation.

Process Documentation & Playbooks:

1. Document repeatable marketing processes and SOPs.
2. Create checklists and workflows for campaigns.
3. Support ongoing refinement of marketing playbooks and systems.

Requirements:

- 2-5 years of experience in marketing operations, campaign execution, or a marketing coordinator role.
- Comfortable working with:
- CRM systems
- Email marketing platforms
- Webinar tools
- Spreadsheets and dashboards

- Strong organizational and project management skills.
- Detail-oriented with a bias toward execution and follow-through.
- Clear written communication and ability to manage multiple priorities.
- Comfortable operating from strategy provided by leadership.
