This role involves supporting both new and existing tenants, coordinating leasing documentation, and ensuring the smooth operation of the leasing process. A strong ability to communicate professionally and manage multiple responsibilities is essential.
Key Responsibilities:
New Tenant Coordination:
Source and secure new tenants.
Liaise with agents, send cost sheets, and arrange property viewings.
Distribute the vacancy schedule.
Load lease agreements onto MDA/MRI.
Conduct TPN checks and gather all relevant documentation.
Draft offers to lease and final lease agreements.
Follow up on outstanding lease agreements.
Existing Tenant Management:
Retain and manage current tenants through regular communication.
Send bulk emails, updates, and notices.
Handle tenant complaints via phone or email.
Follow up on outstanding rental payments or problematic tenants.
Process vacating and renewing tenants on MDA/MRI.
Issue renewal lease emails and arrange ingoing/outgoing inspections.
Property & Operations Support:
Coordinate with maintenance for white box requirements for new tenants.
Share accurate information/documents for outgoing maintenance (e.g. inspection sheets).
Handle fibre installations and access arrangements.
Address building issues (e.g. parking, signage) via email.
Monitor security and cleaning teams at assigned buildings.
Follow up on cleaning and maintenance issues.
Conduct site visits when needed (especially for repeated complaints).
Complete and follow up on signage forms.
Coordinate building additions with professionals, contractors, or tenants.
Administrative Duties:
Prepare rent rolls for banks and agents.
Log service issues with Eskom and the City of Cape Town for assigned buildings.
Provide ad hoc support as required by the company.
Requirements:
Minimum 2 years' experience in retail or commercial leasing
(non-negotiable).
Proficient in
English and Afrikaans
(spoken and written).
Strong command of
Microsoft Outlook, Word, and Excel
.
Previous experience using
MRI Property Software
(or similar systems).
Excellent communication, organisation, and follow-up skills.
Ability to work independently and as part of a team.
