JOB OVERVIEW
The Inventory and Planning Manager will oversee and manage inventory levels across GALXBOY main distribution centre, retail and online outlets, ensuring optimal stock availability, accuracy, and control to meet customer demand while minimizing excess and obsolete inventory. The incumbent will also be responsible for overseeing and optimising inventory processes within a retail environment to ensure accurate stock levels, timely replenishment, and efficient inventory control.
KEY AREAS OF RESPONSIBILITY
Inventory Accuracy & Control
Oversee warehouse activities such as receiving and storing goods, managing inventory levels, ensuring the efficient delivery of goods managing, evaluating and reporting on inventory movement and availability.
Tracking the receipt, storage, and movement of inventory throughout the organisation.
Ensure that accurate inventory records are kept and that company procedures for inventory are maintained.
Develop and implement inventory optimization strategies, including seasonal adjustments, promotions, and markdowns.
Demand Planning & Forecasting
:
Work closely with the Sales and Marketing teams to develop accurate sales forecasts and demand plans.
Utilize planning software or systems to create and manage demand plans, adjusting for seasonality, promotions, and market shifts.
Coordinate with suppliers and manufacturers to ensure timely replenishment of stock based on forecasted demand.
Stock Management
Coordinate cycle counts throughout the organisation and ensure variances are followed up and resolved.
Audit and improve current processes and implement initiatives.
Provide regular Stockout rate (percentage of SKUs out of stock when needed) reports.
Report stock variances and adjustments regularly.
Set reorder points, safety stock, and stock levels to balance availability and cost.
Inventory Turnover & Optimisation
Days of inventory on hand - Target: Balanced to avoid overstock and stockouts.
Analyse historical sales data and current trends to forecast demand accurately.
Collaborate sales teams to align inventory plans with business goals and seasonal demands.
Set and maintain accurate reorder points and safety stock levels based on sales trends, seasonality, and lead times.
Collaborate with E-commerce and retail to align replenishment with promotional activity, new product launches, and demand spikes.
Investigate and resolve stockout issues, delivery delays, or inventory gaps.
Track KPIs such as inventory turnover, stockouts, and order fulfilment rates.
Drive operational efficiency and compliance
Implement best practices in inventory control and warehouse management.
Use data insights to refine inventory policies, reduce waste, and improve operational workflows.
Ensure that warehouse practices align with health and safety regulations.
Promote safe handling and storage of inventory items to minimize risk of damage or injury.
Collaborate with suppliers and internal teams to align procurement and production with demand.
Lead supply review meetings to integrate sales forecasts with inventory and production plans.
Perform administration & reporting activities
Provide real-time stock movement reports and productivity tracking.
Maintain accurate audit trails and compliance records.
Develop and share performance reports on total business and categories on major KPIs.
Prepare monthly stock readiness reports.
Analyse sales data and market trends to predict customer demand across all channels.
SKILLS & PERSONAL ATTRIBUTES
A Diploma or Degree in Logistics or Supply Chain Management equivalent.
Minimum of 3 - 4 years in a similar role at management level.
Advanced proficiency in Microsoft Office, especially Excel (e.g., data entry, pivot tables, formulas, formatting, and basic reporting).
Proficiency with inventory and warehouse management systems.
Automate reorder processes and generate system-based inventory reports.
Audit existing processes, identify inefficiencies, and implement lean inventory practices.
Attention to Detail - For maintaining inventory accuracy and audit readiness.
