Job Description

Our client based in Dube Trade port, KZN is looking for a Internal Sales Assistant to join their team
Minimum Qualifications:

  • Diploma in administration / business management / systems administration or equivalent
  • Experience in administrative work that requires high attention to detail
  • Experience in liaising with customers
  • Needs to have good broad spectrum Microsoft Office knowledge
  • Syspro experience of any kind would be an advantage
Capabilities:
  • High attention to detail
  • Able to: Respond professionally and accurately to customers on their order requests
  • Accurately process customer sales orders, including applying correct pricing
  • Quickly bring to the attention of your supervisor any non-compliance
  • Communicate with team members and balance customer requirements with production capability
  • Good team player (able to work effectively with colleagues)
  • Neat, professional appearance
  • Ability to adhere to systems and company policy and procedure
Duties:
Internal Sales:
  • Receive & process customer purchase orders
  • Liaise with planner on customer required delivery dates and communicate price and delivery date to customer via order confirmation on Syspro
  • Maintain and update customer orders when required
  • Liaise with stores on required deliveries and update order report
  • Process dispatch notes and invoices on deliveries
  • Supply backorder reports to customers where required
  • Process requests for customer returns for credit (boxes/pallets/rejects)
  • Prepare customer price lists and submit to customers timeously
Product Development:
  • Assist sales & development manager with customer new product development: Secure artwork and provide for approval
  • Manage colour matching with suppliers and customers
Label Procurement:
  • Ensure customers take labels within agreed times
  • Assist with management of supplier delivery of labels against customer orders using backorder reports
  • Maintain label purchase orders with suppliers as required
Other:
  • General administration duties
  • We are paperless - all documents scanned and saved electronically per our electronic filing procedure
  • Assist with BOM maintenance
  • Participate in stock takes and with preparation therefore
  • Use Rapid system for compliance
  • Use Syspro ERP system for processing
  • Any other duties that may be assigned to you
  • Use all software mandated by the Company
  • Always act in a manner that is aligned with company duties
