HUMAN RESOURCE CO-ORDINATOR



INTRODUCTION:



A prestigious turnkey engineering solutions company based in Saxenburg Park, Cape Town, is seeking a competent and detail-oriented HR Coordinator to provide comprehensive administrative and operational support to the Human Resources Department.

The successful candidate will be responsible for assisting with recruitment, onboarding, employee record management, HR documentation, and the coordination of daily HR functions. This role requires a high level of professionalism, accuracy, and confidentiality to ensure the effective and efficient operation of all HR processes.

ROLES & RESPONSIBILITIES:



PRIMARY RESPONSIBILITIES:



Recruitment & Onboarding



Assist with posting job advertisements, screening CVs, and scheduling interviews. Coordinate onboarding processes, including offer letters, contracts, and induction programmes. Maintain communication with candidates and new employees.

HR Administration



Maintain and update employee records, HR databases, and personnel files. Prepare HR documentation such as contracts, letters, and reports. Ensure data accuracy and confidentiality of employee information. Support payroll preparation by providing relevant employee information such as attendance, leave, and overtime.

Employee Support & Communication



Act as a first point of contact for HR-related enquiries. Support employees with leave requests, benefits information, and policy clarifications. Assist in organising employee engagement activities and wellness initiatives.

Training & Development Support



Coordinate training sessions, attendance, and training material preparation. Track training completion and maintain training records.

HR Policies & Compliance



Ensure HR processes comply with company policies and labour regulations. Assist with audits, reporting, and compliance documentation.

HR Projects & Events



Support HR initiatives such as performance reviews, wellness events, and team-building activities. Assist with HR metrics, reporting, and special projects as needed.

Payroll



The HR Coordinator supports this function by assisting with data collection, verification, and communication between HR and Finance.

Collect and verify employee attendance, leave, and overtime records. Ensure all new hires, terminations, and employee changes (e.g., promotions, salary adjustments) are accurately captured. Prepare and submit payroll input data to the Finance or Payroll department within required deadlines. Maintain confidentiality and accuracy of all payroll-related information. Assist with the distribution of payslips and respond to basic payroll-related queries from employees. Support statutory reporting and compliance with labour regulations. Collaborate with Finance to resolve discrepancies or errors promptly. Assist with month-end payroll reconciliations and reporting.

Disciplinary Process Support



The HR Coordinator assists in ensuring that all disciplinary matters are handled in a fair, consistent, and legally compliant manner in accordance with company policies and labour legislation.

Provide administrative support throughout disciplinary and grievance procedures. Ensure all documentation, such as warnings, notices, and hearing records, is accurately prepared, issued, and securely filed. Coordinate logistics for disciplinary hearings, including scheduling, venue arrangements, and communication with all parties involved. Maintain confidentiality and professionalism in handling sensitive employee matters. Assist in ensuring adherence to company policies and relevant labour laws during disciplinary actions. Prepare reports and summaries for management regarding outcomes or patterns related to disciplinary matters. Support the appointed chairperson during hearings when required.

SECONDARY RESPONSIBILITIES:



Support internal communication efforts to promote company culture and engagement. Participate in continuous improvement initiatives to enhance HR systems and processes. Ensure adherence to document control and filing standards within the HR department. Perform any other reasonable tasks or duties as assigned by management.

REQUIREMENTS:



A Diploma or Degree in Human Resources, Business Administration, or a related field will be an advantage. 1-2 years of HR or administrative experience (preferred). Excellent organisational and time-management skills. Strong attention to detail and confidentiality. Good communication and interpersonal skills. Proficient in MS Office and HR systems (HRIS).

Package & Remuneration



Gross per month: R 15 000-000 to R 18 000-00 Depending on experience

Commencement date: 21 January 2026
