Job Description

A vacancy exists within the Human Resources Department for an HR & Recruitment Administrator to be based at Head Office, N1 City.



We are looking for an experienced and highly organised individual to support core HR functions including payroll, recruitment, onboarding, and general HR administration. The ideal candidate thrives in a fast-paced environment, works with a high degree of accuracy and confidentiality, and is familiar with HR systems and legislation.

Key Responsibilities



The successful candidate will perform a variety of tasks, including but not limited to:

Payroll and Benefits Administration (40%)



Capture and verify payroll input data including new hires, exits, and employee changes (e.g. promotions, conversions) in Sage 300. Prepare and process monthly payroll documents and ensure timeous submission for approval. Administer routine benefits processes such as medical aid and retirement annuity enrollments and terminations. Maintain an employee change tracker and payroll support documentation. Resolve basic benefits queries and escalate complex cases to the HR Manager. Update employee records on Sage 300 and SharePoint.

Recruitment and Talent Coordination (35%)



Advertise roles, screen CVs, and maintain up-to-date recruitment trackers. Schedule interviews and assessments in coordination with managers and candidates. Conduct reference checks, pre-offer verifications, and draft standard offer letters using templates. Assist with on-boarding logistics including welcome emails, document collection, and access requests (email, IT, building). Support graduate and internship placements as directed by the HR Manager. Schedule 30/60/90-day check-ins and probation reviews, and assist with documentation preparation.

HR Administration & Compliance (10%)



Draft contracts, appointment letters, and other HR-related documents as per template. Ensure all employee files (digital and hard copy) are up to date and compliant with company policies and legislation. Assist with UIF, tax, and other statutory filing requirements. Provide support for internal payroll audits and compliance checks.

Reporting and HR Projects (10%)



Compile basic monthly and quarterly reports on recruitment, staff changes, and payroll activity. Assist with EMP201, EMP501, and return of earnings submissions under supervision. Support HR Manager with project documentation and improvement initiatives.

Teamwork and Self-Management (5%)



Collaborate with HR team and other departments to ensure efficient HR operations. Prioritise and manage personal workload and deadlines with minimal supervision.

Policy Adherence and General HR Support (5%)



Adhere to company policies and procedures at all times. Carry out reasonable instructions from management outside the scope of this job description when required. Familiarise yourself with the HR policies applicable to this role and apply them consistently.

Minimum Requirements



National Diploma or Advanced Certificate in Human Resource Management, Business Administration, or Organisational Psychology 3 years' experience in an HR generalist function, with strong exposure to payroll and recruitment (Call Centre or IT industry preferred) Experience working with Sage 300 and Microsoft Office Suite (Word, Excel, Outlook) Sound knowledge of HR policies and statutory requirements Proven track record of managing high-volume administrative tasks Professional and confident communication style Valid South African ID
