Front Line Administrator



A reputable industrial refrigeration company based in Montague Gardens, Cape Town is seeking a Front Line Administrator to join their team.

Summary:



The Front Line Administrator serves as the organisation's first point of contact and is responsible for creating a professional, well organised, and efficient front-office environment. The role supports daily administrative operations, ensures effective communication flow, and provides reliable support to internal and external stakeholders.

Duties and Responsibilities:



Answer and manage the switchboard, ensuring all calls are handled professionally and directed appropriately. Perform general reception duties, including welcoming visitors, managing the reception area, and assisting with ad-hoc enquiries. Manage petty cash, including monthly reconciliation and balancing in line with company requirements. Coordinate stationery orders, maintain stock levels, and monitor usage. Prepare and place the weekly shopping order for office and operational supplies. File monthly supplier remittances accurately and ensure all documents are stored systematically. Manage motor vehicle licence renewals for the company fleet. Draft and distribute staff notice emails when required. Coordinate local and cross border travel and accommodation bookings for employees and management. Arrange courier collections and deliveries and track items to ensure timely receipt. Schedule motor vehicle service bookings and maintain communication with service providers. Obtain and record weekly vehicle mileage from technicians for tracking and compliance. Process goods received notes and ensure correct filing and handover to relevant departments. Follow up on open purchase orders to ensure timely closure and escalation where required. Perform any other reasonable duties that management may assign from time to time.

Qualifications and Requirements:



Grade 12 is essential. A certificate or diploma in office administration, business administration or a related field is advantageous. At least 2 - 3 years' experience in a receptionist, administrative, or front-office role. Experience using a multi-line switchboard system. Previous exposure to procurement administration, courier coordination, or fleet-related tasks will be beneficial. Computer literacy in MS Office (Outlook, Word, Excel) is essential. Experience working in a corporate, technical, engineering, or operational environment is advantageous.
