To oversee the operations, management, and control of all staff and maintenance of (Soft Services) of Wits RHI facilities which include but are not limited to upgrade, refurbishment, improvement, planned and reactive maintenance of (Cleaning Services, Hygiene services, Canteen, Furniture, Office Accommodation, Horticulture, Participant foods, Pest Control, fire equipment, medical boxes, PPE, and Stores)

Key performance areas:
Plan and oversee the work of the General Assistants to ensure that the working environment is clean and safe for all staff
Plan and oversee the work of the Ground staff to ensure that the gardens and terrain are always kept neat and tidy
Ensure meeting rooms are adequately prepared for planned meetings and events
Prepare work schedules with assigned duties and timelines
Perform spot checks to ensure that the General Assistants work is completed in a timely manner
Inspect work carried out by General Assistants and Ground Staff to ensure a high standard of work is undertaken and maintained
Enforce safe working practices in all aspects of work and adhere to all Occupational Health and Safety regulations
Identify and report any defects and resolve issues identified in collaboration with management to enable repairs to be carried out in good time
Maintain and control use of stock, equipment & consumables, pesticides, weed killers, etc.
Maintain adequate stock levels of cleaning materials and supplies to meet the organizationxe2x80x99s needs
Submit requisition for the purchase of cleaning supplies and equipment
Compile relevant reports on a weekly and monthly basis
Oversee the preparation and delivery of participants' food daily
Ensure that sufficient food and goods are ordered and in stock for the daily preparation of participants
Ensure that new and current staffxe2x80x99s offices are adequately resourced in conjunction with the assets team
Maintain adequate stock levels for all cleaning products
Oversees the daily functioning of the stores at Wits RHI
Ensure daily stock takes are completed in the stores
Monitoring and ensuring that effective pest control measure is put in place at Wits RHI sites to address the need where applicable
Comply with service level agreements (SLAs) for operational services
Implement and monitor SLA for ongoing maintenance contracts and maintenance projects
Oversee and manage the service provider of the Wits RHI canteen at HSB
Conduct Occupational health and safety risk assessments to identify risks and issues and resolve issues in collaboration with management to ensure compliance with all occupational health and safety legislation
Conduct Weekly and Monthly inspections on soft services building components such as waste removal, cleaning equipment, audio and visual equipment in meeting rooms, ablutions, kitchens, pharmacies, etc., and maintain these records
Set up new tenant installations pertaining to soft services for new leases
Act as the first point of contact in assisting employees and managers with general assistant-related queries and, if applicable, redirect them accordingly
Maintain relevant filing systems and records
Perform relevant administration i.e., filing, copying, faxing, and any other ad hoc administration duties as assigned
Compile relevant weekly and monthly service reports related to the xe2x80x9cSoft Servicesxe2x80x9d that include feedback on key performance areas and progress
Perform risk assessments and Audits to identify risks and develop effective preventative measures
Ensure related health and safety regulations are met
Perform regular checks on all equipment to ensure they are in working order and safe to use
Compile monthly reports and disseminate them to relevant stakeholders
Ensure organizational compliance with all OHAS regulations and report on any areas of non-compliance
Actively promote Health and Safety and report any breach directly to the Manager
Ensure all staff wear appropriate PPE
Conduct training on operational SOPs to ensure compliance
Attend to all staffing requirements and administration
Supervise and manage the duties of subordinates to ensure optimal staff utilization and maintenance of sound labor relations
Perform and facilitate performance development and assessments
Identify substandard performance by team members and take necessary corrective action
Coach and train subordinates and team members to ensure the acquisition of knowledge and skills required by the organization
Promote harmony, teamwork, and sharing of information
Take ownership and accountability for tasks and demonstrate effective self-management
Follow through to ensure that quality and productivity standards of own work are consistently and accurately maintained
Maintain a positive attitude and respond openly to feedback

Participate and give input in ad hoc projects and initiatives
Oversee the effective implementation of the OHS legislative requirements for own staff and service providers pertaining to area of responsibility
Required minimum education and training:
Grade 12
Required minimum work experience:
8 years experience in an Organisational Facilities Management/Soft Services Maintenance of Facilities and/or Occupational Health and Safety Environment, with 2 - 3 years being in a Supervisory role
Desirable additional education, work experience, and personal abilities:
Relevant experience in Facilities Management and Soft Services expertise with Project Management and experience in Occupational Health and Safety as an additional advantage
