Job Description


Main purpose of the job:

  • To oversee the selling, buying, renting, and leasing of property for Wits RHI facilities
  • Procure or Lease space for office accommodation, warehouse, clinical space, research space, laboratories, storage, etc.
  • Negotiate the terms of the lease, renew leases, and ensure compliance with Lease terms and conditions
Location:
  • 22 Esselen Str, Hillbrow, Johannesburg
Key performance areas:
  • Negotiate new lease agreements for Wits RHI for the use of offices, clinics, storage, etc. according to donor and WHC requirements at reduced or market-related prices in the most competitive and cost-effective manner taking into consideration study requirements, maintenance requirements, security requirements, distance of travel and public transport requirements
  • Manage lease administration
  • Manage property evaluation administration, liaise with property valuers
  • Manage and control service level agreements with landlord and clients/studies
  • Monitor and control leased terms and conditions to the benefit of Wits RHI
  • Manage deposits, tenant installations, and reinstatement of prior-to-lease conditions
  • Keep records of the condition of the lease, condition of upkeep, cleanliness, and maintenance before, during, and after the lease by taking photo records and doing regular condition of lease inspections
  • Establish appropriate rental rates by conducting market research, determining costs, and considering project budgets
  • Ensure timely payments are made in terms of lease agreements
  • Manage expenditure in terms of maintenance and renovations in collaboration with the operations and maintenance teams
  • Facilitate payments where necessary
  • Assist the project teams in identifying and securing properties as and when this is required
  • Facilitate the sale of property by liaising with the relevant parties including the Divisional COO, WHC Legal, and transferring attorneys
  • Ensure compliance with relevant laws and regulations
  • Ensure properties and premises are ready for new occupants
  • Assist the project operations teams with the receiving and installation of all assets at the new property
  • Orientate new tenants to the property in conjunction with the landlord
  • Perform risk assessments and Audits to identify risks and develop effective preventative measures
  • Ensure all sites are compliant with legislation and address with the relevant landlord if any issues are identified
  • Ensure related health and safety regulations are met
  • Compile monthly reports and disseminate them to relevant stakeholders
  • Ensure organizational compliance with all OHAS regulations and report on any areas of non-compliance
  • Actively promote Health and Safety and report any breach directly to the Manager
  • Take ownership and accountability for tasks and demonstrate effective self-management
  • Follow through to ensure that quality and productivity standards of own work are consistently and accurately maintained
  • Maintain a positive attitude and respond openly to feedback
  • Take ownership of driving your own career development by participating in ongoing training and development activities such as workshops, forums, conferences, etc.
  • Participate and give input in ad hoc projects and initiatives
Required minimum education and training:
  • Grade 12
Required minimum work experience:
  • Minimum of 5 years experience as a Property Manager
Desirable additional education, work experience, and personal abilities:
  • Registration with the EAAB will be an advantage
  • Strong knowledge of relevant property laws and understanding of lease agreements
  • Sound customer and service orientation.
  • Pro-active, able to exercise discretion and independent decision-making
  • Able to prioritize own workload and meet deadlines
  • Assertive, confident, and adaptable
  • Able to work in a pressurized environment
  • Able to work independently (with minimum supervision) and work as part of a diverse and multidisciplinary team
  • Self-motivated with high regard for work ethic, values, and integrity
