The Project Support Assistant will work under the overall supervision of the CoM/Sub-Regional Director and the direct supervision of National Project Officer (Policy Liaison and Reporting Officer) and in coordination with the Regional Thematic Specialists including but not limited to Labour, Border and Data management. This position will provide routine administrative, logistical, and clerical support to project implementation under guidance of the direct supervisor
RESPONSIBILITIES
1. Assist with the logistical and administrative aspects of the implementation of activities under the Border Management (Lesotho and South Africa), Labour Management, SDE4R, and EU Data Action projects.
2. Assist in compiling and maintaining routine project information and activity updates for the internal use in reports, workplans, and progress summaries.
3. Provide support with the circulation, documentation, and filing of project materials across different components of the projects.
4. Provide routine administrative support for project implementation, such as tracking expenditures, preparing purchase requisition forms, following up on standard procedures, and liaising with the Resource Management Unit.
5. Assist with drafting correspondence and carrying out logistical follow-up for stakeholders involved in project activities.
6. Assist with logistical arrangements for trainings, seminars, conferences, workshops, meetings, presentations, and official missions related to the projects, and undertake duty travel to provide such support when required.
7. Support with routine follow-up tasks that contribute to ongoing project activities, in coordination with relevant team members.
8. Assist in the dissemination of project-related information and visibility materials, such as handouts, printed materials, or internal updates.
9. Perform any other duties as may be assigned.
QUALIFICATIONS
High School diploma with four years of relevant experience; or,
Bachelor's degree in Political or Social Science, Business Administration, International Relations, Law, or a related field from an accredited academic institution with relevant professional experience two years of relevant professional experience.
Accredited Universities are those listed in the UNESCO World Higher Education Database .
Experience
Relevant experience in administrative or project support roles, preferably in international development, migration, or related fields.
Experience supporting logistical aspects of project implementation is an asset.
Skills
Knowledge of project support tasks, such as logistics, documentation, and administrative procedures.
Ability to assist with research and data collection to support project activities.
Familiarity with basic reporting formats and office filing systems.
Proficiency in MS Office applications (Word, Excel, Outlook, PowerPoint).
Good communication and interpersonal skills.
Ability to work effectively in a team and in a multicultural environment.
Languages
For all applicants, fluency in English is required (oral and written).
