Position Overview
We are seeking an organised and detail-oriented individual to join our team as a Conveyancing Administrator & Office Manager. In this dynamic role, you will manage the conveyancing process while overseeing the day-to-day operations of our Green Point office. The ideal candidate is proactive, efficient, and passionate about real estate administration, ensuring that our processes navigate success from start to finish.

Key Responsibilities:
Conveyancing Administration:
- Manage all administrative tasks related to property sales, leases, and transfers.
- Liaise with the Operations & Business Manager regarding agents' Fidelity Fund Certificates.
- Collaborate with attorneys, agents, clients, and stakeholders to ensure timely completion of conveyancing transactions.
- Maintain accurate and up-to-date records of all conveyancing files, ensuring compliance with legal requirements.
- Assist in drafting and preparing property-related documents and agreements.
- Track and follow up on outstanding documentation to ensure prompt completion of the process.
- Maintain strong communication with clients, providing updates and guidance throughout the conveyancing process.
- Process transactions on the internal cloud-based program, ensuring timely calculation and processing of agents' commissions.
- Compile and submit various monthly reports to the Directors, and Senior Managers.
- Assist transferring attorneys with letters of undertaking for agents' commissions.
- Draft letters to clients with overdue accounts and coordinate with the bookkeeper for supporting documentation.
Office Management:
- Oversee general office administration to ensure a smooth and efficient working environment.
- Manage office supplies, equipment, and inventory.
- Handle incoming communications, including phone calls, emails, and in-person inquiries.
- Support the team with administrative tasks, including scheduling meetings, booking boardrooms, and organising events.
- Implement office policies and procedures, ensuring compliance and efficiency.
- Liaise with the Payroll Administrator in preparing ad hoc, weekly, and bi-weekly payrolls for agents.
- Communicate announcements and updates to all agents regarding process changes.
Key Requirements:
- Own transportation to our head office.
- Proven experience in conveyancing administration and office management.
- Excellent organisational and multitasking skills, with a keen eye for detail.
- Superior computer skills with advanced experience in Google Suite and cloud-based applications.
- Strong interpersonal skills, with the ability to handle client relations professionally and with care.
- Previous experience in this role or a similar capacity is advantageous.
