About the Role



We are hiring a Client Success Associate to support business growth by owning key client administration and onboarding processes.

This role exists due to rapid client growth and operational strain on existing team members, with onboarding and admin tasks currently spread across Operations Management and Executive Assistant roles, causing clashes in priorities and inefficiencies.

Initially, the role will focus heavily on company administration, registrations, and compliance-related tasks, with a 3 month development into a broader Customer Success / Client Onboarding role.

Why This Role Is Needed



As the firm scales:

Operations Managers are spending time on onboarding and admin tasks Executive Assistants are being pulled away from core leadership support Client support relies too heavily on non-dedicated roles Turnaround times for registrations, authorisations, and billing are inconsistent
This role creates a single point of ownership for client admin and onboarding, improving speed, accountability, and client experience while freeing senior staff to focus on higher-value work.

Key Responsibilities



Core Admin & Compliance Responsibilities (Initial Focus)



You will own and process the following tasks end-to-end:

Confirmation Statements Company Setups and Closures (DS01) VAT Registrations Payroll Registrations Accounting Period Reference Date changes Company name changes Registered office changes HMRC agent authorisations (64-8) AML checks and record keeping Saving and maintaining clearance files Sending and managing registered office mail Chasing missing information and approvals Billing and invoicing for admin services QuickBooks and Xero setup

Onboarding & Customer Success (Within ~3 Months)



As the role evolves, responsibilities will expand to include:

Onboarding new clients (round-robin allocation across team) Reviewing and sending Letters of Engagement (LOEs) Managing DEXT, Direct Debits, and invoicing setup Ensuring services are correctly generated and handed over to Operations Monitoring onboarding progress from signup to "operations ready" Client check-ins at 3-month milestones (allocated portfolio) Billing queries and Direct Debit maintenance Processing client offboarding Sending clearance emails for outgoing clients Chasing one-off clients (largely automated workflows)
This is a process-driven role, and performance will be visible and measurable.

Reporting Line



You will report day-to-day to Operations manager

About You



We are looking for someone who is:

Highly organised and process-driven Comfortable handling repetitive but critical admin work accurately Confident working to deadlines and SLAs Proactive in chasing information and closing loops Comfortable working remotely in a structured environment

Preferred (but not essential):



Experience in admin, compliance, or customer support roles Familiarity with UK firms, HMRC processes, or client onboarding Experience using ClickUp, or similar task management systems
